Position Overview:
We are looking for a dedicated Office Manager & Executive Assistant who will provide comprehensive administrative support to our executives in the APAC region while also managing the day-to-day operations of our brand new office in vibrant, downtown Melbourne. The ideal candidate will be resourceful, detail-oriented, and possess exceptional communication and organisational skills.
What you'll do:
- Office Management (70%)
- Oversee the smooth operation of the office, including maintaining office supplies, equipment, and facilities. Manage vendor relationships and contracts for office services. Coordinate office events, meetings, and conferences, including catering and logistics. Develop and implement office policies and procedures to ensure efficiency and compliance.
- Administrative Support:
- Draft, proofread, and edit documents, emails, and reports as needed. Maintain filing systems and databases, ensuring accurate record-keeping. Handle confidential information with discretion and professionalism.
- Team Support:
- Provide administrative support to other team members as needed. Assist with onboarding new employees and organizing training sessions. Foster a positive and collaborative office culture through effective communication and teamwork.
- Executive Support (30%)
- Manage executive calendars, including scheduling meetings, appointments, and travel arrangements. Prepare and organize materials for meetings, presentations, and conferences. Act as a liaison between executives and internal/external stakeholders, handling inquiries and requests. Assist with the preparation and distribution of reports, memos, and other documents.
- Excellent organizational and time management skills, with the ability to prioritize tasks and multitask effectively.
- Strong communication skills, both verbal and written.
- Proficiency in MS Office or Google Workspace, and other relevant software.
- High level of professionalism and discretion when handling confidential information.
- Proactive problem-solving abilities and attention to detail.
- Ability to thrive in a fast-paced environment and adapt to changing priorities.
- Bachelor's degree or equivalent experience preferred.
