Business Operations and Office Manager
BioNTech is establishing an mRNA research and manufacturing facility in Melbourne based on its modular mRNA manufacturing approach called BioNTainers that will support R&D and the evaluation of mRNA vaccine candidates in clinical trials in Australia, with the aim of strengthening Australia’s mRNA ecosystem.
As a pioneer in this new team, you will be responsible for the set-up and running of organizational and administrative activities in a timely and effective manner in accordance with the needs of a new and entrepreneurial Australian subsidiary of a global organization.
Your main responsibilities are:
- Set up and develop administrative processes in support of our new Innovation Centre in Melbourne’s Central Business District.
- Be the face of our company for questions and information requests from guests, service providers, and colleagues.
- Oversee visitor and guest reception in accordance with company policies (Facility Access Management Policy, Dawn Raid Policy, and Security Policies).
- Be responsible for liaising with the building landlord to coordinate and oversee management of local service providers such as cleaning services, handymen, etc.
- Develop presentations and maintain information for inducting and onboarding new employees.
- Manage the overall use of the office space including employee workstations, conference rooms, kitchen and break areas in close coordination with safety, health, and environment personnel.
- Oversee Office Management services including general phone inquiries, emails, access management, postal services, ordering of supply materials for staff use, and catering.
- Ensure services for the appropriate destruction of secure information.
- Work closely with the Front Desk- and Office Services Teams at BioNTech headquarters in Germany to ensure alignment with corporate requirements and ongoing continuous improvement.
- Assist the team, as required, with conferences, events, workshops, marketing materials and presentations, including liaising with IT services.
- Assist the team, as required, with executive support functions such as booking meetings, corporate travel, handling purchasing and expense claims.
- Ability to quickly comprehend local and global organizational structures to liaise across a matrixed organization.
- Support the coordination and planning of the office and administrative services required of the new R&D and clinical manufacturing site at La Trobe University in Bundoora
What you have to offer:
Education:
- Bachelor’s Degree, in business administration or comparable qualification
Professional experience:
- Sound professional experience of at least 3-years
- Technical proficiency in office management solutions
- Proficient in Microsoft Office software applications (Word, Excel, and Powerpoint)
Languages:
- Excellent written and verbal English proficiency
