Duties include the following:
Executive Administration:
- Travel Coordination: Booking flights and accommodations for the executive team, particularly the CEO and Board.
- Event Logistics: Ordering promotional items, booking tickets, organizing conference booths, and coordinating additional requirements like posters and AV.
- Document Management: Printing and binding Board packs.
General Administration:
- Calendar Management: Monitoring management calendars for meetings requiring catering, setup, or follow-ups.
- Board Meetings: Ordering catering and managing Board packs for monthly meetings.
- Email Management: Handling various email accounts:
- Admin: Checking for ASX announcements, invoices, supplier correspondence, and shareholder requests.
- Accounts: Filing emails, attaching POs, and monitoring exploration emails.
- ASX Announcements: Distributing announcements via Mailchimp and to the team.
- Team Support: Managing expense claims, credit card reconciliations, and meeting management.
- Office Management: Formatting documents, managing reception, meeting rooms, and office supplies.
- Event Planning: Organizing team functions and morning teas.
Website / Social Media:
- Content Management: Uploading reports, research, and presentations to the website.
- Social Media Updates: Posting announcements and articles on LinkedIn, Twitter, and Facebook.
Supply Chain:
- Purchase Order Management: Raising and maintaining purchase orders, processing supplies, and managing receipts.
- Invoice Management: Receipting invoices against purchase orders and updating open POs for corporate and exploration teams.
Accounts:
- Credit Card Management: Reconciling and coding credit card statements for specific team members.
- Payment Runs: Checking bank details and circulating the end-of-month timetable to the team.
