Position Overview: We are seeking an experienced and highly organised Studio Manager/Executive Assistant (EA) to join our team. The Studio Manager/EA will play a critical role in the daily operations of our practice, ensuring smooth workflow management, staff coordination, and deadline adherence. This position allows the Director to focus exclusively on client relations and conceptual work.
Key Responsibilities:
1. Workflow Management:
- Oversee the day-to-day operations of the studio to ensure efficient project workflows.
- Allocate resources and assign tasks to ensure projects are completed on time and within budget.
- Implement and maintain project management systems to track progress and deadlines.
- Ensure all studio operations comply with company policies and industry standards.
2. Staff Management:
- Supervise, mentor, and support the architectural team, including architects, designers, and administrative staff.
- Conduct regular performance reviews and provide feedback to team members.
- Foster a collaborative and positive work environment.
- Coordinate staff training and development programs.
3. Deadline Management:
- Monitor project timelines and ensure all deadlines are met.
- Anticipate potential delays and implement solutions to keep projects on track.
- Communicate with clients and stakeholders regarding project progress and any changes in deadlines.
- Ensure that final deliverables meet the highest quality standards.
4. Financial Oversight:
- Assist in the preparation and management of project budgets.
- Monitor and control project expenditures.
- Collaborate with the finance department to ensure accurate and timely billing.
5. Communication and Coordination:
- Act as a liaison between the Director and the architectural team.
- Facilitate effective communication within the studio and with external partners.
- Schedule and organize team meetings, client presentations, and other events.
6. Strategic Planning:
- Contribute to the development and implementation of the studio's strategic goals.
- Identify opportunities for process improvements and operational efficiencies.
- Support the Director in business development activities as needed.
Qualifications:
- Bachelor’s degree in Architecture, Business Management, or a related field. Advanced degree preferred.
- Minimum of 5 years of experience in a management role within an architectural or design firm.
- Strong leadership and team management skills.
- Excellent organizational and multitasking abilities.
- Proficient in project management software and tools.
- Strong communication and interpersonal skills.
- Ability to work under pressure and meet tight deadlines.
- Knowledge of architectural practices and industry standards.
