House Manager/Personal Assistant/Office Managerfor HNWI

Position Overview:
We are seeking a highly organised and experienced House Manager/Personal Assistant to provide comprehensive support to Erin Deering, one of the entrepreneurial parents in a busy household. The ideal candidate will manage the daily operations of the home, oversee nannies, a housekeeper, and assist with minor office tasks in a small business setting. This role requires a dynamic individual with excellent multitasking abilities, a keen eye for detail, and a proactive approach to problem-solving. Job is based in South Yarra at the family home or in Prahran in the small office.
Key Responsibilities:
Household Management (45%):
- Oversee the day-to-day operations of the household to ensure a smooth and efficient running environment. Ability to identify areas for improvement and rectify issues imperative.
- Coordinate and manage the schedules of nannies and a housekeeper, ensuring all duties are performed to the highest standards.
- Organise and oversee trades and any maintenance to the house.
- Organise and manage family calendars, including children's activities, appointments, and birthday parties.
- Oversee household shopping, run errands, and inventory management.
- Ensure staff and bills are paid.
Personal Assistance (45%):
- Provide comprehensive personal assistance to Erin Deering, including managing her schedule, coordinating meetings, making appointments, running personal errands, returning online purchases and handling correspondence.
- Assist with travel arrangements, including booking flights, accommodations, and itinerary planning.
- Prepare and organise materials for meetings and events as needed.
- Handle confidential information with discretion and professionalism.
Office Management (10%):
- Perform basic administrative duties in a small office environment and ensure supplies are stocked.
- Support office operations and manage leave requests and pay.
- Manage subscriptions for office supplies and subscriptions.
- Coordinate with contractors, and service providers for office needs.
Qualifications:
- Proven experience as a Personal Assistant and House Manager.
- Experience in office management or administrative roles is highly desirable.
- Exceptional organisational and multitasking skills.
- Strong communication and interpersonal abilities.
- Ability to work independently and handle multiple priorities effectively.
- Proficiency in Microsoft Office Suite and other relevant software.
- Discretion and confidentiality are essential.
- Valid driver's license and own vehicle.
