Office Support Coordinator - Global Tv And Film Company !

Seated in the Reception of NBCUniversal Australia this position will be the face of the Sydney Head Office based in George Street. You will be the first contact that people seeking NBCUniversal will have. We are looking for a dynamic individual to take on this fast-paced role. You will have the opportunity be across many facets of our business with variety in the job from day to day. The successful candidate will have a positive attitude and be digitally fluent, be comfortable dealing with face-to-face customer service and have the energy and enthusiasm reflected in our industry. This role would suit someone with an administrative background who is willing to further their technical knowledge. Working predominately on the front desk and assisting IT with minor technical queries will enable this person to learn on the job and develop.

RESPONSIBILITIES

• General administrative support to the Office Services Manager. 
• Managing all visitors to the office including VIP’s, external staff, and service providers. 
• Booking same day, National and International couriers. Reconciliation of monthly invoicing.
• Manage the Internal Security system including - Issuing Staff and Visitor Security passes as needed, keeping an up-to-date records and regular Auditing of all access cards. 
• Liaise with the Base Building Management and use the Internal Portal for office maintenance issues. 
• Environmental Health & Safety duties as a point of contact for international offices. 
• Support the Environmental Health & Safety Committee – attend meeting and minute taking. 
• Fire warden or First Aid duties. 
• Assist with Theatrette Invoicing. 
• Provide assistant to the IT team. 
• Update documentation regarding support issues, requests and ensure it is accurate and maintained.
• Supervise Meeting rooms and ensure their equipment and supplies are intact. Overall presentation is acceptable for the next meeting. 
• Ensuring the general appearance of the office is always impeccable. 
• Kitchen and Break Out Room duties – monitor the appearance of the kitchen and tea point. Monitor stock requirements and dishwashers. 
• Management Level 33, booking of the Hosting Space and general appearance. 
• Support HR with Onboarding. 
• Assist with in-house events. 
• Ad-hoc projects as required.

OVERALL SKILLS AND EXPERIENCE 

• High level customer focus and delivery.
• Professional presentation.
• Ability to work autonomously as well as part of a team. 
• Positive attitude in a busy and sometimes pressured environment. 
• Previous experience in an administrative role. 
• Experience with tools like Microsoft Word, Excel, PowerPoint, etc. 
• Excellent communication skills.
• Ability to multitask and a strong attention to detail.
• Solid command of the English language, written and verbal.
