Job description

We are seeking a dynamic and organized individual to join our team as an Operations Assistant. This role will be crucial in supporting our administrative team, managing shipping and logistics, overseeing warehouse activities, coordinating office supply orders, administration support for the service team and handling various ad hoc tasks. The ideal candidate is detail-oriented, possesses strong communication skills, and thrives in a fast-paced environment.

Key Responsibilities:

  • Assisting Admin Team:
    • Provide administrative support to the team, including scheduling meetings, managing correspondence, and handling inquiries.
    • Assist with data entry, document preparation, and maintaining records.
  • Shipping & Logistics:
    • Coordinate shipping activities, including preparing shipping documents, scheduling pickups, and tracking shipments.
    • Ensure timely delivery of goods and resolve any shipping-related issues that may arise.
  • Warehouse Junior:
    • Assist with inventory management, including receiving, storing, and issuing materials.
    • Help maintain a clean and organized warehouse space.
  • Ordering Office Supplies:
    • Monitor office supply levels and place orders as needed.
    • Ensure timely delivery and proper stocking of office supplies.
  • Other Adhoc Tasks:
    • Respond to unforeseen tasks and requests promptly and effectively.
    • Adapt to changing priorities and assist with various projects as needed.
  • Service Administration Tasks:
    • Support service administration functions such as scheduling appointments, processing service requests, and updating customer records.
    • Collaborate with service teams to ensure efficient service delivery.

Qualifications:

  • High school diploma or equivalent; associate degree or relevant certification preferred.
  • Previous experience in a similar role is an advantage, but not essential.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Ability to work independently and as part of a team.
  • Familiarity with shipping and logistics procedures is a plus.
