Our client is an Incorporated Legal Practice specialising in employment law, industrial relations, employee relations, and dispute resolution.
Founded by Daniel Sleeman, a lawyer and workplace relations specialist with nearly two decades of experience, and based in Melbourne, our client provides legal and non-legal services to clients nationally.
We are looking for someone to join this growing business as a valued team member, someone unique who can be trusted and enjoys a dynamic workload with variety and great opportunities.
Tasks and Duties:
- Managing all matters and clients, overseeing workstreams, and ensuring timely delivery and meeting of client requirements and expectations
- Keeping matters moving and progressing in accordance with planned milestones
- Managing the Principal’s time to maximise efficiency and ensure an optimum client experience
- Monitoring KPIs and timelines on all key matters, ensuring commitments are met
- Administrative tasks
- Managing the IT system used by the business (not as an IT expert, but in consultation with an external provider)
- Booking meetings and managing the Principal’s calendar
- Booking/organising travel where relevant
- Helping the Principal prepare for meetings
- Transcribing audio files from Dictaphone (using platforms like Dragon)
- Staying on top of files and implementing practical workstream management processes so that client needs are met and timelines can be adhered to
- Organising files and helping to put together submissions for the Fair Work Commission (e.g., enterprise agreement approval applications)
- Building relationships with clients (this role is not behind the scenes, it is a critical role that will become part of the team and a face of the company)
- Attending meetings with clients from time to time, in person or by videoconference
- Formatting documents
- Monitoring and managing emails and ensuring clients receive timely responses
- Invoicing
- Assisting to manage accounts (liaising with Accountant/Bookkeeper)
- Research and analysis where possible (this will vary depending on the skills and desire of the Paralegal/Legal Secretary)
- Assisting in putting together Proposals and Cost Agreements for clients and potential clients
- Organising legal documents

- Experience in a Legal Secretary or paralegal role

Location:
- Role is based in Southbank (Melbourne), a short walk from Flinders Street Station
- Parking can be discussed at the office location
- Expectation is 3 days in the office, 2 days working from home (or as otherwise agreed from time to time)
