Are you organised, detail-oriented, and passionate about providing exceptional service in Property Management? We're seeking a proactive and dedicated individual to join our team as a Property Management Assistant on a part-time basis.
Key Responsibilities:
- Routine Inspections: Conduct routine inspections of properties to ensure they meet quality standards and address any maintenance issues promptly.
- Ingoing Inspections: Assist with ingoing inspections, documenting property conditions and ensuring a smooth transition for new tenants.
- Office Administration: Provide administrative support to the Property Management team, including filing, organising documents, and maintaining records.
- Phone Management: Handle incoming calls to the office, addressing inquiries from tenants and landlords professionally and courteously.
- Data Entry: Accurately input and update information into our Property Management software, maintaining comprehensive and up-to-date records.
- Work Orders: Generate and dispatch work orders to appropriate vendors or maintenance staff, ensuring timely resolution of issues reported by tenants or identified during inspections.
- Follow-up with Trades: Coordinate with contractors and tradespeople to schedule repairs and maintenance tasks, following up to ensure work is completed satisfactorily and within deadlines.
- Invoice Processing: Assist with processing invoices, verifying accuracy, and ensuring timely payment to vendors and service providers.
Requirements:
- Prior experience in Property Management or a related field is preferred but not required. Training will be provided.
- Certificate of Registration is required, or willingness to obtain
- Drivers licence and access to a motor vehicle is required.
- Excellent communication skills, both written and verbal.
- Strong organisational abilities with a keen eye for detail.
- Proficiency in basic computer skills and familiarity with Property Management software is advantageous.
- Ability to prioritise tasks and work independently within a small team environment.
