Job description

The Team

The Payroll, Systems and Reporting (PSR) Section is part of the AEC People Branch, within the Enabling and Regulation Group. The PSR section is responsible for the provision of payroll related services, the maintenance and development of the Aurion HR management information system (HRMIS), and the Workforce Reporting and analytics to support informed workforce decision making. 

To support these critical functions the PSR section provides expert advice regarding conditions of employment and the preparation and reconciliation of the fortnightly payroll, configures and maintains the Aurion HRMIS, and provides regular and ad-hoc workforce data and metrics to assist staff management and meet external legislated reporting requirements.

The Opportunities

The PSR section has expected vacancies across the Payroll team, HR Systems team and the Workforce Reporting team. The PSR section is seeking to identify a merit list to fill vacancies. These opportunities will provide you with capability development in core Human Resources functions and processes and position you to assist the AEC in strategic planning and decision making.

Payroll team

The role is responsible for undertaking work that is moderately complex in nature, under general direction, utilising functional expertise and is responsible for day-to-day payroll processing using the agency’s HRMS, Aurion, including salary and entitlement calculations, within a medium sized agency comprising of staff engaged under the Public Service Act 1999 (Cth) and through statutory appointments governed by the Remuneration Tribunal. 

Some key position responsibilities of this role include using judgement to determine customer needs, requirements, and entitlements and where appropriate refer and link them to relevant government or community services. Having accountability for completion of allocated tasks, organising workflow, review of work and development of less experienced employees.

You will build rapport and maintain stakeholder relationships, including liaising with stakeholders to assist in resolving moderately complex issues. Including representing the work area at internal and external meetings and conferences.  

Make and communicate decisions within defined boundaries relating to the area of responsibility using expertise and knowledge, governed by legislation, regulations, best practice principles or relevant operating instructions and procedures.  

HR Systems team

You will be an experienced technical officer who enjoys working in a complex, fast paced and challenging environment. In this technical role you will be required to support your team in the delivery of the department in the management and operation of the HRMS, Aurion. 

Some key responsibilities include management of the HRMS environment and issues at multiple complexities, including problem solving, issue resolution and testing in the UAT environment. Some general management of the department’s ITC infrastructure is also required. Experience in undertaking continuous improvement projects will also be an advantage in this role. 

This role will assist with guides and training of stakeholders to ensure the proficiency in the use of the HRMIS. You will support AEC business areas and stakeholders in the use of the employee self-service (ESS). As an HR Systems Officer you will be first point of contact triaging incoming enquiries and workload to address and resolve enquiries relating to the Aurion application. Providing a high level of customer service through the delivery of outcomes on a variety of HRMS matters.

Reporting Team

The Workforce Reporting Officer role is responsible for the provision of accurate and timely workforce and establishments data and reports to support and inform data-driven decisions in the AEC. This role undertakes analysis of moderate complexity and assist the team in the delivery of establishments reporting through consultation with relevant business areas on short-term and long-term establishments management and initiatives under the general direction of the Assistant Director.

You will also assist the development and updating of relevant reporting processes and reporting tools using the agency’s HRMS, Aurion.

Payroll team

  • Ability to interpret and provide advice to staff on salaries and related entitlements, leave and general conditions of service in line with the AEC Enterprise Agreement and related legislation, policies and procedures. 
  • Knowledge or the ability to gain knowledge of calculating entitlements for AEC staff, including commencements and cessations, while producing and maintaining records associated with payroll processing.

HR Systems team

  • Ability to draft and maintain system administration documentation and intranet articles, and technical support documentation as required.
  • Knowledge of and understanding of a range of HR legislation, internal guidelines and policies as they relate to APS and AEC employment and conditions of service.

Reporting Team

  • Ability to provide exceptional customer service to provide Workforce Reporting and proactively support clients to maintain accurate organisation information in our HRIMS Aurion system relating to employee, establishments, reporting and establishments hierarchies and other relevant data.
  • The ability to provide accurate workforce and establishments data through reports to support data-driven decisions.
