Exciting Opportunity for a Dynamic Personal Assistant to join our client, a established professional services firm in Sydney CBD.
We're on the lookout for a versatile and outgoing PA to join our dynamic team and provide indispensable support to two visionary directors and the wider team. In this role, you'll be seamlessly navigating the fast-paced world of innovation while fostering effective collaboration within the wider team.
The ideal candidate will be approachable, have strong communication skills and can hit the ground running. We are looking for someone passionate about helping people, is flexible and can manage upwards. This candidate will have strong relationship-building skills, be proactive and be able to work in a fast-paced environment. This role will work closely with a team of 4 PAs. The ideal candidate will have professional services experience and have experience working in technology.
Typical responsibilities:
- Personal Assistant supporting two Director including travel bookings, inbox, diary, expense management and ad-hoc request.
- Provide administrative, logistical, and technical support to the team.
- Arrange complex international travel and produce cohesive travel itineraries.
- Screen incoming calls, re-direct, transfer and take messages accordingly.
- Receive and process incoming and outgoing mail and couriers.
- Manage expenses and invoice processes.
- Maintain the electronic and manual filing system.
- Arrange training course attendance and assist with new starters across the department.
- Organise catering for meetings/workshops.
- Arrange conference calls, including international calls, and confirm attendance.
- Purchase office supplies.
- Take minutes in meetings, including external and board meetings.
- Assist with PAs across the department
- Assist with general administration to ultimately support the team.
- Prepare documents, correspondence, excel spreadsheets, PowerPoint presentations, and contracts as and when needed
- Coordinate corporate presentations, including booking venues, inviting guests, and organising logistics.

Key Requirements:
- 3 years as a PA or a senior Team Assistant or someone from a strong administration background with proven organization skills.
- Experience working with a large corporate business and supporting a large team preferable in Technology and Transformation.
- Strong communication skills
- The ability to take initiative and set their own priorities
- Advanced skills in Microsoft
