Salary level, range or hourly rate: School Officer Level 4 - $34.86 per hour (School Salary Scale)/(Services Salary Scale)

About our school: St Josephs College Coomera is a Brisbane Catholic Education master planned co-educational College that opened in January 2019. Our first Seniors will graduate in 2024. The College is located in Coomera on the Northern Gold Coast, 40 minutes south of the Brisbane CBD.

About the role - We are seeking a motivated and enthusiastic professional to join our administration team.

The Personal Assistant to the Headsof College - Primary and Secondary will work in close partnership with the Heads of College and the College Leadership Team, and as such the successful applicant will demonstrate outstanding levels of professionalism and discretion.

Under the direct supervision of the Principal, duties will include, but are not limited to:

  • Provide high quality administrative support to the Heads of College including correspondence, agendas for meetings, presentations, data collation.
  • From verbal or rough handwritten instructions, answer correspondence, prepare papers, briefing notes or other written material.
  • Calendar management for the Heads of College – act as the first point of contact for arranging appointments, making meeting and interview schedules.
  • Create and maintain an updated staff contact list for both Primary and Secondary Campus.
  • Perform general administration duties which includes monitoring telephone calls, establishing and/or maintaining working filing systems and hospitality for guests and visitors.
  • Support College Leadership Team in the co-ordination of staff and visitor gifts as appropriate.
  • Work collaboratively with the College Leadership Team to support significant college events such as Evening of Excellence (awards evening).

About you - The successful applicant will be able to demonstrate outstanding communication skills; a positive disposition and a genuine desire to work in partnership with College staff, students and families.

The successful candidate will have:

  • Advanced ability to use Microsoft packages including Word, Excel, Publisher, Outlook, etc.
  • Advanced ability to use other College specific software including eMinerva, General Access, College and BCE portals.
  • Advanced level of knowledge of College operations to ensure accurate advice to enquiries from the community.
  • Maintain accurate, accessible filing systems to ensure efficient delivery of information.
  • Incorporate use of scanning systems.
  • High ability to use email, internet, and College communication systems.

  • hold a Paid Employee Positive Notice Blue Card prior to commencement;
  • be eligible to work in Australia for the duration of the appointment; and
  • have a commitment to and understanding of the ethos and traditions of Catholic Education.
