About the Role:
We are seeking a dedicated and highly organised APS5-6 Portfolio Management Office (PMO) Administrator to join our Security PMO team within the Security Portfolio Section (SCP).
The successful candidate will provide crucial administrative and secretarial support across various projects within the portfolio, ensuring smooth operations and effective governance. This role reports directly to the Security PMO Assistant Director.
APS Level : APS5-6 Portfolio Management Office (PMO) Administrator
Location: Canberra
Duration : 12 Months + Possibility of 12 Months Extension
Requirements:
- Minimum of NV1 or ability to get an NV2 (already NV2 is preferred)
- Selection Criteria Response
- Schedule and coordinate meetings within the PMO, including taking minutes during meetings and governance forums.
- Provide governance support to the PMO secretariat by developing and managing governance papers and agendas.
- Maintain records and handle documentation produced by projects, ensuring data is accurately entered for PMO reports.
- Communicate with office staff, project teams, and stakeholders to manage information requests, schedule updates, and reports.
- Support senior staff by managing competing priorities aligned with team goals and objectives.
- Prepare project-related documents for stakeholders, including status updates, reports, budgets, and discussion papers.
- Coordinate the flow of information between the PMO and its stakeholders, ensuring timely management of the PMO mailboxes.
- Minimum of 2 years of experience in project or PMO administration.
- Understanding of project management principles, including planning, monitoring, evaluation, and assurance.
- Strong written and verbal communication skills with proven stakeholder engagement experience.
- Ability to quickly learn new digital skills and optimise the use of existing software.
- A positive, solution-focused attitude with excellent attention to detail and the ability to meet tight deadlines.
- Demonstrated ability to work independently and within a small team, showing initiative and resourcefulness.
