Program Support Officer
About the role:
As a Program Support Officer, you will be required to assist the Program Manager with planning and administrative tasks associated with several projects. You will work within a team to solve daily administrative problems and conduct research, analysis, reporting, and other activities to support the development and delivery of a programmatic body of work.
The specifics of your responsibilities are:
Program Research and Analysis:
- Conduct research and analysis for assigned programs. This includes gathering information, assessing data, and providing insights to support decision-making.
- Prepare program briefs based on your findings to ensure informed planning.
Administrative Support:
- Monitor and report on program plans, milestones, and deliverables. Ensure they align with approved project plans in terms of time, cost, and quality.
- Maintain documentation and records related to program issues, policies, and practices.
- Secure appropriate venues for workshops, seminars, or conferences.
- Coordinating with experts that lead training sessions and keep track of participant attendance.
Adaptability and Flexibility:
- Ability to assist with resolution of any matters within the broader work environment.
- Ensure smooth operations when faced with changing circumstances.
- Develop reporting metrics, proactively identifying opportunities to drive efficiency, productivity, and customer-experience improvements.
Implementation Assistance:
- Collaborate with the program team to complete tasks and execute project plans effectively.
- Keep stakeholders informed about program status and any implementation challenges.
- Contributes to reviews and audits of project and programme management to ensure conformance to standards.
Administrative Services:
- Coordinate committee meetings and prepare necessary papers.
- Provide administrative services to facilitate smooth project management.
- Correspondence and calendar management.
- Coordinate Leadership and Team Day-to-Day activities.
- Travel booking and management.
Training Provided:
- As part of your role, Contour will provide role specific training which may be one or both of the following:
- SAFe Scrum Master course
- Agile Business Analyst course
Essential attributes:
- Proficiency in Microsoft Office and relevant software and web-based applications.
- Relevant qualifications and/or demonstrated experience in project administration, project management or Program Support roles.
- Attention to detail with strong time management skills.
- Ability to access, interpret and report on data from a range of systems to allow for effective dissemination to a range of audiences.
- Demonstrated ability to work independently and in a team environment.
- Experience coordinating meetings and events, including agendas, minutes, actions and required follow up.
- Australian Citizenship
Desirable Attributes:
- AGSVA Security clearance
- Certificate IV or above qualification in business, project management, marketing/communication or similar and/or 3-5 years’ experience in a program coordination or business development role.
- Experience in, or knowledge of government funded programs.
- Experience working with a diverse range of stakeholders with competing priorities.
