As a Project Coordinator at Insider, you'll play a crucial role in bridging the gap between our creative ambitions and their successful execution. You'll oversee a wide range of responsibilities, from client management and staffing to administration and sales operations. Your expertise will ensure the seamless progression of projects from conception to completion, all while maintaining the highest standards of quality and efficiency.
Key responsibilitiesProject oversight and management
- Assist the Project Managers and General Managers with overall project timelines, updates, and scheduling using tools like Wrike, Milanote, Trello or similar.
- Maintain a tasklist for staff, conducting regular check-ins to monitor progress.
- Efficiently manage resources to ensure project milestones are met on time.
- Manage ongoing client liaising, ensuring clear communication and satisfaction.
- Provide regular updates on client campaigns and project progress to aid in client retention.
- Oversee campaign budgets, including monitoring hours to optimise resource allocation.
- Process orders and work with the team to ensure clear communication and expectations are understood.
- Update our CRM with the latest project and sales information.
Sales and marketing support
- Compile proposals and quotes, and some market research to drive business growth.
- Produce reports and statistics for clients, highlighting campaign performance and insights.
- Assist in corporate content management, including organising sales collateral.
- Perform basic corporate marketing tasks and assist with event and travel management.
Administrative excellence
- Assemble and organise assets for corporate content needs, collaborating with team members to ensure materials are ready for sharing.
- Assist with some invoicing and follow-ups, ensuring timely payments and financial accuracy
- Proven experience in project management within a multimedia or related field.
- Strong organisational skills, with an ability to manage multiple projects and tasks efficiently.
- Excellent communication skills, capable of fostering positive relationships with clients and team members.
- Proficiency in project management software (Wrike, Milanote, etc.) and financial tools (Harvest, Salesforce, Xero).
- A keen eye for detail and a commitment to quality and precision.
