About the Role:
We’re looking for a driven and experienced Project Coordinator | Contract Administrator with proven office fitout experience to join our Project Management team.
Key Responsibilities:
- Cost reporting and forecasting
- Preparation of subcontractor packages, scope of works and procurement schedules
- Tender letting and evaluation
- Assess progress claims and subcontract payments in-accordance with Security of Payment Act
- Head / Sub-Contracts/Contracts Variations
- Preparing and submitting variations to the client
- Preparing trade package tender documentation
- Prepare construction programme using MS-Project
- Interpreting architectural drawings and specifications
- Preparing Purchase Orders and Subcontracts
- Document control
- Preparation of general Administration correspondence
- Liaise with project stakeholders including architects, engineers, project managers, suppliers and clients to clarify project requirements
- Draft and negotiate contracts
- Acting as subject-matter expert to provide responsive and accurate advice for complex enquiries relating to contractual obligations and revisions. The position will also undertake reporting to monitor contract compliance,
- Escalating noncompliance where required and seeking to minimise risk
- Providing project coordination support to the Project Manager, the role will be critical in helping achieve flawless execution of projects within the contract duration, within scope and under the assigned budget.
- Track contract and project schedules
- Provide guidance on contractual obligations
- Assist Project Managers with general project tasks
- Review insurance requirements and ensure all forms and approvals are in place
- Document drafted meeting minutes provided by Project Managers
- Approve invoices in conjunction with the Project Manager and finance department
- Attend Project Handover & PCG Meetings and minute as required
- Attendance at Quarterly WHS, Internal Project Handover, Project Performance Review & Weekly Project Management Meetings
- Set up and manage defects register in consultation with site manager/ and Project Manager
- Coordinate and prepare of CDC and Occupation Certificates
- Assist in developing and closing statutory requirements (BCA Documents)
About you:
You will have 2+ years’ experience in a similar role in office fit-out with strong analytical skills and technical knowledge
Personal drive, initiative and resourcefulness, alongside excellent communications skills, are qualities we look for in the role. We’re looking for candidates with a can-do attitude, ability to problem solve and perform to timelines.
To be successful in this role you will need:
- Industry tertiary qualification in Building, Construction, Engineering, or Project Management
- In depth knowledge of all aspects of fit out
- Sound knowledge of Building Code of Australia and Australian Standards
- Subcontractor’s dispute resolution
- Experience working for a mid-tier construction company in office fit-out
- The ability to write a detailed scope of works
- Sound knowledge forecast cost reporting
- Excellent time management and organisation skills
- Strong numerical skills with a focus on accuracy and attention to detail
- Working experience in MS Project, Excel, and Word are essential, experience in PowerPoint, JobPac, Procore desirable.
