National Retail Group is a leading family office advisor providing premium transaction and asset management services in the real estate sector to create generational assets. We represent a national portfolio of properties from single shop fronts to neighbourhood shopping centres.
The Asset Manager role is primarily responsible for properties and relationships within the portfolio ensuring profitability, full occupancy, and maintenance to keep the assets at a best-in-class level.
Primary responsibilities
• Ensure properties and relationships in the portfolio are maintained in a best-in-class manner
• Administer lease agreements efficiently.
• Monitoring and Implementation of strategies to reduce arrears.
• Act as the primary liaison between tenants and landlords, providing exemplary service.
• Conduct property inspections, including both routine checks and inspections for new and outgoing tenants.
• Facilitate lease renewals and negotiations.
• Facilitate approved lease assignments.
• Oversee tenant vacates and ensure properties are returned to a satisfactory condition.
• Maintain accurate property records on Cirrus8/SharePoint, serving as the centralized repository of information for all asset management functions.
• Prepare property budgets, including capital expenditure (CAPEX) projections for the upcoming year.
o Issue annual outgoings budgets.
o Reconcile outgoings budgets on an annual basis.
• Monitor and authorize expenditures in alignment with approved budgets.
• Undertake any other tasks as necessary to support asset management operations in the business.
Compliance
• Tenants
o Manage documentation related to Insurance Certificates of Currency (CoC), Bank Guarantees, licenses, and permits to ensure compliance with regulatory requirements.
o Verify and maintain Contractor Insurance Certificates of Currency (CoC) to ensure coverage and compliance.
o Oversee Essential Services and Fire Protection Systems to meet safety standards and regulatory obligations.
o Ensure compliance with government and local council regulations and requirements.
o Administer licensing processes for various purposes such as liquor, grease traps, AFSS, Back Flow Devices, etc.
o Stay informed about and adhere to current legislation and Retail Acts to ensure legal compliance and best practices in property management.
• Property
o Establish and oversee preventative maintenance contracts for essential building services such as HVAC, lifts, electric doors, and other critical infrastructure.
o Manage AESMR (Annual Essential Service Measure Report) and AFSS (Annual Fire Safety Services) inspections to ensure building compliance
o Coordinate both preventative and reactive maintenance activities, ensuring timely resolution of issues and adherence to maintenance schedules.
o Maintain high standards of cleanliness, landscaping, and general upkeep within the property premises, including coordinating cleaning, gardening, and other maintenance tasks as necessary.
To succeed in this role, some of your attributes include;
• 5 years’ experience in a property or asset management role
• Intermediate to advanced user of Microsoft Office (Word, Outlook, Excel, PowerPoint)
• Intermediate to advanced user of Cirrus8
• Experience working with, and general knowledge of, the Retail Leases Act 2003
• Passionate about property and delivering exceptional customer service
• Strong attention to detail
