Position Overview
The Property Manager performs a key role by acting as the main point-of-contact for the tenants, managing all aspects of relationship and providing feedback to the business on the tenant’s performance. This position is also responsible for managing rental income, property presentation and casual leasing.
Key Responsibilities
- Act as the main point of contact for tenants, and develop a positive, professional and collaborative relationships with all tenants. Collaborate with the internal team to provide high standard of service and address tenant’s needs.
- Responsible for the accuracy of the tenancy schedule and detailed lease notes
- Collect rent and associated charges to minimise arrears, escalating issues to the team or to the solicitors if needed
- Responsible for the accuracy of arrears report, reconciliation of tenant’s account, review of monthly rental invoices, tenant recharges and turnover rent
- Coordinate replacement and keep current bank guarantees and insurance policies
- Collect sales figures and assess the trading levels of the retailers, and to provide timely report to the business regarding any tenant at risk of default due to trading difficulties
- Conduct monthly property inspection and collaborate with the Facilities Manager to address facilities and safety issues, maintain presentation standards and improve customer experience
- Assist in lease renewals by providing feedback to the business on the tenant’s performance and initiating the initial conversation with the tenant
- Assist in marketing the property and retailer’s promotion; manage external contractors for social media and website maintenance
- Prepare casual licences, coordinate issue of invoices, and collection of fees
Lease Administration
- Process various property transaction including but not limited to leases across all properties in internal approvals system (AMS). Tracking, consolidation and archiving the same lease related documents in hard and soft copies.
- Prepare casual licenses for short term occupation.
Facility Management
Assist the Senior Property Manager and/or the Facilities Manager(s) where required:
- To ensure that the Novlan Properties General, Fire, Risk and all other Statutory Assessments are carried out when required.
- To ensure co-ordination of the management any on-site shop fit works, monitor the contractors and issue completion certificates at the end of the works; maintaining close liaison with the Property Manager.
- To ensure health and safety, security and compliance.
- Coordination and negotiation with the suppliers regarding pricing.
- Ensuring Centre facilities are properly installed and regularly maintained and repaired.
Knowledge/Skills
- Previous experience in a similar role at least 2 years, ideally with shopping centre experience
- Knowledge of the legislation relevant to commercial and retail leases
- Excellent communication skills and customer service focus
- Strong accounts skills
- MRI experience
- Problem-solving skills and analytical ability
- High level of attention to details
