About the Role
This position is a residential role based in Aurukun.
This position reports direct to the Director Corporate Services and is required to manage the purchasing, procurement, tenders and administrative support functions, identify and implement efficiencies to Council’s purchasing procedures and policies, and assisting with Reception functions on an as needed basis.
Key Accountabilities
- Raise purchase orders for requisitions using Synergy Soft.
- Obtain quotations for purchase of goods in accordance with Council’s Purchasing Policy and using Altus Procurement Manager.
- Manage and action Credit Card purchasing transactions.
- Set up trade accounts with suppliers for the supply of goods and liaise with suppliers to ensure timely supply of goods
- Liaise with transport suppliers to ensure timely dispatch of goods to Aurukun and from Cairns, and vice versa
- Identify and document transport costs
- Order and safekeeping of stock for office
- Assist with stocktake at Council’s Depot as required.
- Setup and maintain a Preferred Supplier List for Council and regularly review the list in conjunction with Directors
- Develop and maintain Contracts Register for tenders, contracts and expressions of interest documentation including filing of all associated documentation.
- Produce monthly reports of outstanding orders
- General data entry
- Reception and answering telephones
- Other duties as directed by the Director of Corporate Services
Qualifications, Experience & Personal Attributes
- Experience in successfully communicating, negotiating, and interacting with Aboriginal people and demonstrated knowledge of Aboriginal culture and customs.
- Proven ability to develop effective and inclusive relations with Indigenous and / or diverse communities and stakeholder groups in a way that recognises their diversity and cultural values, and at the same time aligning with organisational and community values.
- Minimum 5 years related work experience in purchasing and / or stores management
- Cert IV in Purchasing and Procurement – or equivalent is preferred
- Must have a Queensland Driver’s Licence to drive a manual and have experience with driving a 4-wheel drive vehicle.
- Strong interpersonal and communication skills with an ability to negotiate, manage conflict and diffuse volatile situations.
- Computer literacy particularly in aspects of Purchasing and Accounting software, and Microsoft Office Suite of programs, especially Excel, Outlook and Synergy Soft.
- Ability to work independently and as part of a team to achieve positive outcomes.
- Working knowledge of legislation as it relates to Purchasing, Taxation (GST) and Local Government.
- Understanding of legislation, or ability to acquire legislative knowledge of Aurukun Shire Council Local Laws.
- Capability to reduce lead time with minimum effort
- Capability to maintain a professional level of communication at all levels
- Capability to offer practical solutions to immediate purchasing issues.
- Ability to liaise effectively with senior staff in Aurukun to ascertain the purchasing requirements of Aurukun Shire Council
- Flexibility in the adoption of new IT solutions
