Administration & Reception Assistant - at a Growing Firm
Summary
We are seeking a highly motivated full-time Administration & Reception assistant to join our growing team and work between our Sutherland, Lugarno & Wollongong offices. You will have experience within an accounting or professional services firm, ideally in reception and performing administrative tasks. We will provide you with an opportunity to grow your skillset. About the Role
We are looking for an experienced Administration Assistant to support full-service Financial firm.
- Answering & distributing telephone calls;
- Greeting and working with the client’s initial contact;
- Drafting letters to clients and emailing correspondence;
- Liaising with the Australian Taxation Office (ATO) for lodgements, payment plans and addressing queries where required;
- Onboarding new clients in XPM, ATO and creating jobs appropriately;
- Performing general Reception duties, inc mail, scanning and payment processing;
- Prefilling ATO & client details on all appointments where required;
- Scanning, filing and saving client documentation;
- Booking appointments and diary management;
- Printing and binding documents and other accounting requirements;
- Managing and distributing ATO documents through ATOMate;
- Providing general support to the administration team
- Xero Practice Manager data entry to ensure client details are up-to-date (source of truth);
- Preparation and completion of forms for clients as requested by accountants; and
- Any other support tasks where required.
About You
- Two years experience working in an office environment, preferably accounting or financial services;
- Drivers licence;
- Experience using Microsoft Excel, Outlook and Word;
- Xero and document manager software experience desirable;
- Excellent verbal communication skills;
- Highly organised and able to take direction from various team members;
- Ability to multi-task and proven experience in a busy environment;
- Willing to learn new tools and processes; and
- Drive improvements in our working practices.
