Your role will include:
Sales Support
Working within the Guest Relations team to ensure the client experience within the office is exceptional
Reception duties – Manage incoming calls, boardroom bookings, kitchen maintenance/organisation
Ensuring office opening and closing tasks are completed on a daily basis
Complete the daily mail run and deliver mail and deliveries to employees
Record & maintain adequate stocks of stationery and Australia Post supplies
Liaising with office manager in relation to any office issues
Assist Client Gifting Coordinator with preparation and co ordination of upcoming property settlement gifts
Providing ongoing sales administration support to all sales employees
Complete activities and tasks within the sales CRM as required
Prepare Sales Open Packs/Auction Bags as required
Compile sales statistics and produce reports
Property Management Support
Providing ongoing support to all property management employees
Proactive completion of daily administration tasks for the property management team
Responding to emails and enquiry from internal team members on property management administration and task related matters.
Prepare & Maintain “Landlord Packs” and 'Tenant Packs'
Prepare open for inspection keys/documentation for Saturday open for inspections.
Key tagging & maintaining key data within Property Me & Key where systems
Arrange Your Porter utility connections as required.
Day to day engagement with the property management and administration team, ensuring a high level of internal support is provided to the property managers to enable them to perform their duties to the required standards
Attending weekly Administration meetings to discuss team wins, process improvements and any other concerns as a team.
Assisting with other duties such as preparing catering booking rooms, welcoming guests and any other functions
Other administrational duties as required by the Director or Management team
Skills
Demonstrated administration experience in a fast-paced environment
Advanced competency in Microsoft Office suite specifically Excel and Word
Effectively plans and prioritises own work appropriately dealing with conflicting demands
Knowledge of Agent Box and Campaign Track (highly regarded)
Excellent business and technical communication skills (written and verbal)
High level of relationship management and ability to build trust and respect
Demonstrated exceptional attention to detail
Detailed understanding of real estate concepts and ability to explain these clearly
Sound experience in an administrative / support / receptionist role
Previous experience in the Real Estate industry (highly regarded)
Certificate IV in Property services (highly regarded)
