Our head office is located in Maitland, close to plenty of shops and cafes, with satellite offices in The Junction and Singleton. The Receptionist role is based in Maitland.
About the role
Due to internal promotion, we’re now seeking an enthusiastic and client focused individual to fulfil the role of Receptionist on a full-time permanent basis (9am – 5pm, Monday to Friday). The successful candidate will feel supported with a comprehensive onboarding experience and will undertake the following duties:
- Answering and directing incoming calls for our three divisions;
- Greeting clients in a warm and professional manner;
- Booking meetings and sending confirmations to clients;
- Managing team inbox and responding to basic enquiries;
- Monitoring and maintaining all supplies, including stationery and kitchen supplies;
- Collecting, sorting and scanning incoming mail and posting outgoing mail;
- Processing basic financial planning documents (e.g. third party authority forms);
- Following up with various superfunds, insurance companies, banks etc to ensure they have processed documents we have sent to them;
- Assisting with the maintenance of our customer relationship management system (Xplan) and our Centrelink portal;
- Basic office keeping e.g. loading, unloading dishwasher, keeping meeting rooms tidy.
This role offers a fantastic breadth of exposure and would suit someone who is interested in developing a career in financial services.
Skills and experience
Our ideal candidate will possess the following experience and qualities:
- Previous experience in a Receptionist role or customer/client facing role;
- Moderate to advanced computer skills;
- Meticulous attention to detail;
- Excellent phone manner and written communication skills;
- Ability to multi-task and prioritise;
- A proactive and “can do” attitude;
- A focus on excellence.
