The School’s Receptionist & Administrative Assistant will work as a collaborative member of the Central Administration team. This role will be responsible for ensuring the smooth running of the School’s Main Reception by providing high quality administration and reception support, and exceptional customer service to our school community. The role entails responsibility for administrative tasks essential to the organisation and operations of the School. You will also act as the first point of contact for many individuals at Main Reception and will be responsible for attending to inquiries from members of the School community and general public.
This is a Fixed Term Part-Time position, commencing as soon as possible and concluding at the end of Term 1, 2025. See the attached position description for further information about the role.
Responsibilities
- Reception duties - including distribution of incoming and outgoing mail and email
- Manage parent, staff, student and community enquiries
- Manage and maintain multiple shared meeting room calendars
- Reconcile relevant office accounts and invoices, such as Australia Post and couriers
- Maintaining and update procedural manuals
- As requested by the Executive Assistant to the Chief Operating Officer, assist and provide administrative support to departments within the Corporate Services division when required
- Responsible for the development of reception administrative processes and efficiencies
- Assist and provide support with Print Room administration
- Administration tasks as required including:
o Raising and receipting purchase orders
o Print, copy, laminate, bind and filing
Key Selection Criteria
Required
- VCE or equivalent
- A tertiary qualification will be an advantage
- Minimum of three years’ experience in a reception or administrative position
- Experienced in Microsoft Suite, with excellent spelling and grammatical skills
- Experience in Microsoft Office365 and Synergetic will be an advantage
- Excellent attention to detail, verbal, written and inter-personal communication skills.
- Hold a First Aid qualification or be prepared to complete a qualification
- Experience of working with children from a culturally and/or linguistically diverse background.
- Highly organised with a ‘can do’ attitude
- An ability to multi-task and manage multiple projects and stakeholders
- Ability to stay calm and focused under pressure
