The Opportunity
In this role, you'll be at the forefront of our organisation, playing a pivotal role as both receptionist and administration. We're not just looking for any candidate – we're in search of an admin/receptionist superhero, someone who's willing to go above and beyond to ensure our clients' experiences exceed all expectations. In return, you’ll be working in a supportive and fun work environment.
Duties in this role will include:
- Respond to incoming calls, directing them to the appropriate internal contacts;
- Provide impeccable customer service to clients visiting reception;
- Take simple payments and issue documents to clients;
- Manage reception area;
- Maintain stationery and inventory;
- Entering data into appropriate systems and maintaining job records.
- Maintain and reconcile petty cash.
- Handling all internal and external customer's general enquiries via phone, email, and in person;
- Booking jobs according to the clients requirements;
- Collate information and documentation to send via email and mail;
- Entering data into appropriate systems and maintaining job records;
- Preparing invoices using appropriate pricing schedules;
- Document Management including printing and saving documents and reports to the server, photocopying, and scanning;
- Liaise with colleagues and other departments as requested;
- Other general administrative duties.
Due to the nature of the role, this role is to be performed from our office - Monday to Friday, 9am – 5pm. (Flexibility on working days will be discussed with the candidate during the recruitment process)
Who are we looking for?
We are looking for a mature individual who has a passion for customer service and motivation to deliver engaging and friendly experience for our valued clientele. In addition, the successful applicant will demonstrate:
- A high level of customer service.
- Ability to work with limited supervision;
- Ability to multi-task;
- Intermediate level computing skills in the use of Microsoft Offic Suite of products;
- Applications demonstrating prior experience within an engineering/construction company will be viewed favourably.
- Exceptional communication skills and personal polish.
- An upbeat, polite, and pleasant telephone manner
- Self-organisational skills (able to deal with multiple telephone calls and 'walk-ins' simultaneously)
- Current Driving Licence.
