Receptionist & Customer Service Representative - Textile Mill

**Job Description:**

We are currently seeking an experienced, friendly, motivated and professional individual to join our team as a Receptionist & Customer Service Receptionist. In this role, you will be the first point of contact for our clients and visitors, providing exceptional Customer Service and administrative support to ensure smooth operations. You will be interacting with customers and internal staff members across several departments. Excellent communication and listening skills are an essential part of this role. You will be trained across the varied products and supported to learn the ropes of this integral role within the business. As you develop in the role, you will start to broaden the type of enquiries you handle. 

**Key Responsibilities:**

- Greet clients and visitors with a warm and welcoming demeanour, ensuring a positive first impression of our company.

- Answer incoming calls and respond to inquiries promptly and courteously, directing calls to the appropriate department or individual as needed.

- Manage the reception area, including receiving and distributing mail, scheduling appointments, and maintaining a clean and organized workspace.

- Assist with administrative tasks such as data entry, filing, and preparing documents as requested by team members.

- Collaborate with other departments to coordinate meetings, events, and facility maintenance activities, ensuring seamless communication and execution.

- Handle customer complaints or concerns professionally and escalate issues to the appropriate personnel for resolution when necessary.

- Serve as the primary point of contact for customer inquiries, orders, and concerns, providing exemplary service and support throughout the process. 

- Collaborate with internal teams, including production and logistics, to ensure timely delivery of orders and resolve any issues that may arise.

- Dispatch online orders, conduct monthly stocktakes of online stock inventory to prompt Dyehouse to restock low inventory. 

- Update customers with production and dispatch on a weekly basis. 

- Maintain accurate records of customer interactions and sales activities using our ERP system, PRONTO ensuring that all relevant information is documented and accessible.

**Qualifications, Characteristics: **

  Previous experience in a Customer Service or receptionist role, preferably in a manufacturing or industrial setting.

  Excellent interpersonal and communication skills, with a courteous and professional phone manner.

  Strong organizational and multitasking abilities, with attention to detail and accuracy.

  Proficiency in Microsoft Office Suite and other basic computer skills.

  Ability to work independently as well as part of a team in a fast-paced environment.

  High school diploma or equivalent; additional certification in office administration or Customer Service is a plus.

  3. Ability to multitask, prioritise and manage time effectively.
  4. Exceptional time management skills and ability to meet deadlines.
  5. Ability to work in a team and a collaborative environment.
  6. Equestrian experience highly regarded, but not essential.
  7. Basic skills in Microsoft Office applications including Excel, Word, and Outlook
  8. Hold a current driver's license.

This is a Fulltime position, Monday through Friday in a friendly, professional working environment. Our standard hours are 7am-3.00pm. This may change to be 8.00 – 4.00pm after probation. Immediate start available.
