About the Role:
- Perform administrative tasks for Administration Coordinator, including arranging meetings, typing, filing, etc.
- Answer incoming telephone calls, triage and either take message or transfer call to the relevant staff member
- Warmly greet all visitors and new admissions by name where possible
- Receive deliveries, ensure all deliveries are in good condition, and that delivery matches invoice.
- Post and receive mail
- Faxing, copying, laminating, scanning, displaying of notices, filing and archiving
- Maintain a clean and tidy workplace including packing up of activity equipment after each use
- Assist the order of supplies, e.g. stationary, cleaning materials and other goods
Skills you need to success:
- Intermediate computer literacy, including experience using Microsoft Office applications such as Word, Excel and Power Point.
- Strong phone etiquette & face to face customer service
- Self-motivated person with high levels of initiative and ability to work autonomously.
- Ability to establish rapport with people from diverse backgrounds and age groups.
- Demonstrated ability to maintain confidentiality and privacy.
- An awareness of, and sensitivity to, the needs of older people.
- Excellent verbal and written communication skills.
- Ability to learn new software applications
- Outstanding attention to detail
