About the role
As a receptionist you will be the first point of contact for our visitors, we are seeking someone who will provide a positive experience whilst assisting with administrative responsibilities in a fast-paced environment.
Key responsibilities
- Greet and direct stakeholders presenting to reception
- Manage the main reception telephone
- Coordinate participants when they attend appointments
- Provide participants with study documentation for their appointments
- Ensure participants complete forms accurately and are registered correctly
- Liaise with staff to ensure timely turnaround of scheduled appointments
- Update outpatient calendar with participant arrival times, contacting those who fail to present for their appointment
- Liaise with Study Coordinators to ensure adequate documentation is prepared and available
- Perform completeness checks on biological samples for the courier
- Coordinate mail services, including couriers
- Facilitate ordering of office supplies, ensuring supplies are adequate
Requirements
- Proven reception and administration experience
- High level of communication and customer service skills
- Excellent time management skills and ability to work in a fast-paced environment
- Adaptable, shows initiative and has a strong attention to detail
- Able to work both independently and effectively in a team
- Knowledge of standard business software packages including Microsoft Office
