About the role
An opportunity exists for an experienced Office Manager to join our Club Operations and Administration team at our Southern Highlands office in Moss Vale.
This position is permanent part-time at 22.5 hours per week and you will have the flexibility to create a schedule that works for you.
Working autonomously within a small local team and supported by our larger regional team you will have the ability to showcase your strong organisational and communication skills by taking the lead and overseeing all aspects of running the office.

Key Responsibilities
- Manage account reimbursement requests for legatees and beneficiaries within the limits outlined by Legacy procedures
- Coordinate fundraising events and initiatives around major fundraising days eg. Anzac Day, Legacy Week, Remembrance Day
- Proactively arrange to attend regular Divisional Meetings and provide training at the request of the Club Services Operations Manager and/or President / Chairperson
- Maintain minutes of meetings, and follow up any requests identified
- Facilitate and/or provide support to the enrolment and pension application and transfers in your regional area.
- Maintain data integrity and the accuracy of information within the Legacy CRM
- Liaise and support Divisions or Groups with grant applications, in particular the Club Grants Scheme and the Community Grants Scheme including the acquittal process
- Build new and expand upon current relationships with service providers that increase social inclusion for beneficiaries with particular focus on those at risk of social isolation
- Work closely with the Club Services Operations Manager to share best practice and ensure standardised strategies, activity delivery and procedures throughout LCS participating clubs and divisions.
- Maintaining the club/divisional beneficiary activities calendar and manage upcoming events and fundraising activities
- Create, edit, publish and distribute divisional newsletters for Beneficiaries and Legatees as necessary, ensuring the content meets brand guidelines
- Ensure that all division/ club procedures are documented and up to date
- Annual risk assessments completed and provided to the WHS Advisor
Skills and Experience
- Proven administration experience (ideally in a Not For Profit organisation)
- High level of interpersonal / communication skills and proven ability to engage in and build trust and rapport with staff, Legatees and other internal/external stakeholders across all platforms
- Highly developed organisational and time management skills to effectively organise workload and priorities
- Proven ability to work independently and as part of a team
- Experience with Microsoft Office (with proven intermediate knowledge of Outlook, Word and PowerPoint formatting)
- Highly experienced in building associations with new and existing external service providers to build relationships for the organisation
Highly Regarded
- Relevant qualifications in office administration
- Relevant qualifications in activities/ event administration and coordination
- Previous experience working with confidential records and information
- Previous experience with records management (CRM) systems
- Previous experience working with volunteers
- Previous experience with emerging technologies such as Zoom / Microsoft Teams
- Working Knowledge of Lean and/or process improvement methodologies
- Experience in working with Adobe Acrobat
