About the job

FLAIM Systems is seeking a passionate Sales and Marketing Assistant to join its team in South Melbourne. The successful applicant will be a generalist with a can do attitude and a willingness to learn.

As a Sales and Marketing Assistant at FLAIM, your responsibility will be to facilitate every stage of the customer journey, from lead generation to post-sales support. This includes managing customer and inbound prospect enquiries through automated workflows, and ensuring all requests are meticulously tracked and reported. Additionally, you will assist in sales order processing and conduct regular check-ins with key accounts post-sale.

Responsibilities

  • CRM management - manage automated CRM workflows to ensure business has validated customer information records, has clarity on the lead to win-loss process to provide leadership team with monthly reporting.
  • Sales win to conversion - support pre-sales price enquires, proposal issuance and quotations through to and order processing and fulfillment.
  • Sales team - provide ad-hoc support to sales team, sales reps and distributors.
  • Customer service - manage inbound customer inquiries via phone, email, and other communication channels.
  • Post sales services - support local market after-sales support through regular check-ins with key accounts.
  • Coordinate logistics for marketing events and trade shows, including venue selection, vendor management, promotional materials and travel bookings.
  • Create, schedule and plan social media campaigns and ad-hoc news sharing, monitor platforms for engagement, and respond to comments.
  • Assist in the development, planning and delivery of marketing materials, such as presentations, email campaigns, FLAIM community newsletters, product updates and event outreach campaigns.
  • Assist in the development, planning and delivery of a FLAIM Customer satisfaction process and voice of customer process to support case study
  • Assist with coordinating company events.
  • Provide administrative support to the team including managing inventory of marketing materials and office supplies, placing orders as needed.
  • Oversee office management tasks and ensure tidy and organise workspace.
  • Manage outsourced office maintenance contractors.

Skills & Qualifications

  • Bachelor's degree in Business, Marketing, or a related field.
  • Excellent communication and interpersonal skills.
  • Ability to use of business technology (e.g., Power Point, Excel, Word and Microsoft Office)
  • Organisational and time management abilities.
  • Ability to work effectively both independently and as part of a team.
  • Positive attitude, enthusiasm, and eagerness to learn and grow.
  • Flexibility to adapt to changing priorities and responsibilities in a fast-paced environment.

Desirable

  • Previous experience in sales, customer service, or a related field is a plus but not required.
  • Experience and understanding of the emergency services and fire and safety industry

You must have the authority to work in Australia.
