Join our client, a leading provider of financial solutions, as the EA to the CEO/Board Administrator. As a pivotal support figure, you will directly assist the CEO and Board in optimising functional operations and upholding our brand values of optimism, clarity, forward thinking, and proactivity.
Responsibilities:
CEO Support:
- Manage the CEO's calendar, including scheduling meetings and handling invitations.
- Coordinate travel arrangements and itineraries for the CEO.
- Provide comprehensive administrative support, including assistance on projects for the Senior Management Team.
- Prepare accurate agendas and minutes for meetings, ensuring timely dissemination of materials.
- Oversee event logistics related to the CEO, including venue booking and catering.
- Handle incoming communications and correspondence, determining priorities for action.
- Assist the Paralegal/Board Administrator with preparation and distribution of Board and Committee papers.
- Minute Board and Committee meetings, ensuring accuracy and timeliness.
- Schedule meetings, prepare paperwork, and circulate materials to members.
- Prepare final reports to the Board, recommending approval.
- Provide oversight and guidance to the Corporate Receptionist/Office Administrator.
- Set performance expectations and objectives, conducting regular reviews and providing feedback.
- Manage workload and task handling efficiency of the receptionist.
- Foster a positive and collaborative working relationship, addressing any issues promptly.
- 10+ years of relevant experience supporting C-Suite executives and Boards.
- Previous experience in facilitating board minutes and agendas.
- Proficiency in Microsoft Office applications and exceptional communication skills.
- Strong organisational skills and ability to manage competing priorities.
- Capability to work both collaboratively and autonomously.
- Discretion and proficiency in handling sensitive information.
