About us
The Department of Treasury and Finance provides economic, financial and resource management advice to help the Victorian Government deliver its policies. We strive for excellence in financial and economic management to improve the lives of all Victorians.
Economic Growth and Better Regulation Victoria
Economic Growth and Better Regulation Victoria has a dual role working with the Victorian Government and community to:
* Investigate productivity opportunities for the State of Victoria to make recommendations on growth impediments that need to be addressed, and
* Support the analysis, design and implementation of best-practice regulation.
About the role
This is a newly created ongoing role supporting the newly appointed Commissioner for Economic Growth and Better Regulation. In this high-profile role, you will be responsible for:
* Providing high-level confidential secretarial and administrative support to the Commissioner including diary, meeting and function management, preparation of all meeting papers, email, and travel management.
* Proof-reading and processing written advice, briefs and in an accurate and timely manner.
* Implementing and managing administrative processes for the Commission, working with and providing leadership where appropriate to other administrative team members in the Commission.
* Assisting with the coordination and implementation of projects, activities and tasks that come under the responsibility of the Commissioner.
* Monitoring and maintaining office stationery supplies, records, budget expenditure, purchasing and payment of accounts. This also includes a range of financial delegations.
* Demonstrating leadership to the work group by exercising professionalism and contributing to a positive work environment.
* Providing leadership through mentoring and support to other EAs in the work group in relation to departmental and work group processes.
* Preparing and monitoring expenditure.
* Developing and maintaining professional working relationships with key stakeholders in Ministerial Offices, line agencies and key external clients.
* Managing the performance of EAs in the work group in conjunction with the relevant Executive Director.
* Managing the leave roster and subsequent gaps for EAs within the work group.
* Working in conjunction with other Senior Executive Group Executive Assistants (SEG EAs) to provide leadership and guidance across the department.
About you
To be considered for the role, you will be a natural self-starter able to demonstrate:
* Proven senior experience providing high level executive and administrative support exercising a strong team focus with exceptional judgement and decision-making skills with an emphasis on service excellence.
* Ability to forge strong networks and relationships across all levels of the Department, Victorian Public Sector and externally.
* Exceptional attention to detail, being accountable and decisive and operating independently using a high degree of initiative with the ability to prioritise and pivot as required.
* Self-awareness, a high level of integrity and ability to achieve outcomes by clearly identifying objectives and establishing systems and procedures and recognising opportunities for process improvement.
* Superior written and verbal communication skills.
* Proficy in a range of software programs such as MS Office, Outlook, HPE Content Manager and Ariba (or equivalent).
Experience and qualifications
* Extensive background and experience working in an executive/team co-ordination and support role, or similar.
* Experience in the development and maintenance of office support, systems, financial records and procedures.
* An administrative, Secretarial or Office Management tertiary qualification or certificate is desirable.
* Previous experience within a government environment would be advantageous.
