About the role and team
We have an opportunity for an experienced Legal Assistant to join our Banking & Financial Services team based in our Brisbane office.
This role will provide administrative support to a Partner, Lawyer, and Consultant.
Key responsibilities
The successful candidate will be responsible for:
- general file management, opening files, new matters and closing files;
- telephone handling including answering incoming calls, taking detailed messages and making outgoing calls as required;
- drafting and preparation of emails, letters and basic documents;
- pro-actively manage the diary/calendar of designated authors in accordance with their requirements;
- organising meetings and travel arrangements, including flights and accommodation;
- drafting engagement letters and cost updates if required;
- arranging for outgoing mail to be signed, compiled, enveloped and delivered to mailroom;
- monthly and quarterly reporting, if required;
- general accounts work;
- preparation of monthly billing;
- arranging registrations for lawyers attending training courses, seminars and conferences;
- maintaining Partners/lawyers’ contacts in our firm CRM InterAction, including assisting with list management on their behalf for events and communications; and
- ad hoc duties as and when required.
We would like to hear from candidates with the following skills and experience:
- ideally 5+ years’ experience as a Legal Assistant;
- experience working with a partner in an executive assistant role would be desirable;
- reliable, proactive and ability to demonstrate initiative;
- strong attention to detail;
- experience in financial services would be desirable;
- excellent interpersonal and communication skills;
- good knowledge of Microsoft office;
- highly organised;
- a team player;
- excellent communication skills;
- experience in using legal billing system and client management program (eg. Aderant would be desirable but not required); and
- experience in using document management system (eg iManage10 would be desirable but not required).
