This wonderful opportunity to work full-time for a specialist medical practice in the lovely suburb of Carlton. Our client specialises in Paediatric & Foetal Cardiology and is seeking to secure the expertise of an experienced
Senior Medical Secretary to join their practice on a permanent full-time basis.The primary responsibilities of the role are front desk reception duties and all medical administrative tasks. The role is full-time (Monday to Friday - 8.30 am – 4.30 pm). This is a small team environment, with 2 specialists (both working part-time), and an offsite part-time business manager. The successful applicant must be able to work independently and be self-motivated.
Duties Include:- Appointment scheduling and answering calls.
- Greeting patients and handling their queries
- Invoicing, receipting, and debt collection using Gentu software.
- Medical audiotyping of patient letters and reports
- Processing clinic letters and distribution of letters and test reports
- Management of patient data, medical records, and investigations
- Ensuring the waiting room and consulting room areas are neat and tidy.
- Communication with patients, staff, specialists, and outside agencies including Medicare.
- Reconciliation of payments on weekly/monthly basis
- Management of daily correspondence
The ideal candidate will have worked or is currently working as a
Medical Secretary with either Specialists or in General Practice. Previous experience using clinical management software (especially a cloud-based version) will be an advantage. Software training will be provided for the successful candidate.Excellent communication skills are essential to the role. You will need to communicate via telephone, email and face-to-face with people from a variety of backgrounds.The successful candidate will possess the following attributes:
- Meticulous attention to detail.
- Experience using medical software, Gentu (cloud-based) experience is highly desirable.
- Excellent verbal and written communication skills in English.
- A strong work ethic based on excellence, commitment, responsibility, and empathy.
- Capability to prioritize and manage multiple tasks efficiently.
- Calm and flexible approach.
- Computer literacy with Windows computers, with competency using MS Word, Outlook & Excel. MS Access is desirable. Most filing is done in a paperless environment requiring manipulation of files to various folders within the system.
- Ability to learn new skills quickly and accurately.
- Fast and accurate Medical audiotyping skills.
- Problem solving skills to manage situations when things don’t go to plan.
- Good presentation and a friendly, professional, warm, and courteous nature.
