We have a fantastic opportunity for a driven, and passionate Administration Payable - Receivable Officer to join our team on a part-time or full-time basis. Reporting to the General Manager, you will work within a well-established and supportive team and be responsible for accurate, and high-quality estimating for tenders and submissions for maintenance projects and contracts.
Qualifications & experience
• Previous Contract Administration role.
• Well-developed skills in Microsoft Word, Excel and Outlook.
• Excellent written and verbal communication skills.
• Strong organisational capabilities with attention to accuracy and detail
• Financial and accounting knowledge is essential.
Tasks & responsibilities
- Managing customer requests for servicing, and scheduled maintenance works.
- Customer quotes, and labour planning.
- Prioritise customer requests and allocate resources appropriately.
- Providing regular and timely updates to customers on the status of jobs attending to their request.
- Coordinate scheduled preventative servicing and maintenance.
- Monitor, analyse and report facility management service performance and recommend effective improvement strategies.
- Ensure effective planning and scheduling of work is carried out within budget and on time.
- Liaise with site management teams to determine their requirements.
- Lead, coach and develop a high performing maintenance team that meets agreed objectives, and delivers best practice results, added value and continuous improvements.
- Ensure OH&S requirements are met for the contract.
- Book and coordinate site visits.
- Obtain quotes and present them to clients.
- Prepare reports on tradespersons findings.
- Completing job reviews prior to invoicing.
- Excellent customer service and the ability to react and prioritise to our clients’ needs.
- The ability to work under pressure and have personal resilience to juggle the competing priorities of the position.
