We are looking for a Sr. HR Specialist who reflects the innovative spirit, creative talent, production excellence, collaborative approach and passion for great filmmaking that define Lucasfilm, and our visual effects division, Industrial Light & Magic (ILM)!
The Sr. HR Specialist is responsible for administrative human resources related activity in support of ILM and will be the liaison between ILM, Lucasfilm and Disney HR COE teams. This will include, but is not limited to, on-boarding and off-boarding activities, orientations, preparing HR documents for HRIS processing, report generation, auditing HR data for accuracy in HRIS and local production tools, training employees on time entry, assisting employees to connect with the right resources for assistance, working on local HR programs and services. This role will perform other HR generalist related work as assigned.
What You Will Do
- Acts as first point-of-contact for general employee and management inquiries re: HR services, policies, and processes.
- Owns HRIS onboarding; partners with Talent Acquisition and People Development team for onboarding new employees into ILM, Lucasfilm and Disney systems. Conducts New Hire Orientation meetings when needed. Also partners with ILM Talent Coordinators for onboarding.
- Implements the project employee renewal process including extensions, tracking of exit dates, database input, reporting, and status communication with Talent Management team
- Owns the exit process for outgoing employees including data tracking, reporting, paperwork preparation, scheduling and conducting exit interviews, and collecting equipment. Maintains weekly exit reports and proactively communicates leavers to other partners.
- Coordinates the inter-company and inter-divisional employee transfer process, including partnership with global HR teams and Lucasfilm Global Mobility.
- Coordinates day-to-day personnel changes including using various systems to update information, communicate changes, and direct HRIS in processing the changes. Flag meaningful changes to the finance team when necessary.
- Builds various reports and analyze data using various databases, HRIS, and software applications
- Partners with Studio Talent Group and various managers to communicate upcoming training courses and understand training requests. Works with the training department to schedule and coordinate training for employees.
- Maintains strong understanding of the employee handbook to interpret situations, make decisions, and advise management and employees as appropriate.
- Works with members of the overall HR team in order to effectively solve problems and proactively identify areas for improvement.
- Key contact for HR Business Partners and managers for issue resolution.
- Serve as point of contact for Worker’s Compensation claims. Meet with employees to intake information, provide Workers’ Compensation medical facility information, and submit paperwork to vendors.
- Performs special projects as needed on an ongoing basis.
Required Qualifications & Skills
- 5+ years of HR experience, working in a fast-paced environment
- Strong service orientation, preferably in a creative, production or entertainment industry environment.
- Demonstrates passion for HR Operations-type work
- Excellent written and verbal communication skills
- Excellent time management and prioritization skills
- Excellent Microsoft Excel skills
- Solid understanding of Federal and California labor law
- Previous experience working for a large company and/or a creative environment preferred
- Strong Google Suite (Docs, Sheets, Slides), HRIS systems (i.e. SAP / Workday) and database knowledge
- Ability to handle sensitive and confidential situations effectively and professionally
Education
- Bachelor’s degree or equivalent experience
The hiring range for this position in San Francisco is $63,400 to $84,900 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
