An exciting, internal opportunity to join Box Hill Institute as our Statistics & Senior Administrator within our Student Administration Unit! This opportunity is fixed term until January 2025.
Within this role you will administer fee establishments within the student management system to ensure its correct calculation for a variety of subsequent enrolment types and government reporting. The role assists with regular statistical submission data clean-ups for government reporting, monitors monthly Victorian Student Number submissions and administers special consideration outcome advice.
The role monitors the main Student Administration inbox for a range of internal and external and undertakes historical record searches. The role administers Victorian Tertiary Admission Centre (VTAC) course entries and associated selection administration in certain periods of the year. It also participates as one of the broader Student Administration team providing Student Administration, phone and counter service, enrolment, payments and a range of other student administrative functions and services.
The Statistics & Senior Administrator – Student Administration is a member of the Registrar’s team within Student Administration in the Student Experience division. This position is responsible for working professionally with employees at all levels across the Box Hill Institute and liaising with relevant external stakeholders, including the VTAC.
About You:
- Current Box Hill Institute Employee
- Demonstrated experience in a similar position within a Student Administration operation
- Experience with a student management system; preferably Student One
- Sensitive to and responds to clients’ needs, keeping the client up to date with issues and developments. Promptly follows through on inquiries, requests, and complaints, taking responsibility for correcting problems promptly and without becoming defensive
- Superior analytical and problem-solving skills. Seeks information needed to solve work problems. Investigates and probes for the facts
- Prepares letters, emails, and produces reports using clear, concise and grammatically correct language organised in a logical sequence. Includes content appropriate for the purpose and audience. Clearly explains information and listens to feedback using a polite and considerate manner when dealing with others. An eye for detail for accuracy
- Organising and Planning Skills: Regularly plans and tracks progress on work tasks, taking an organised, methodical approach to work, with the ability to manage workload and conflicting priorities during peak times
- Superior analytical and problem-solving skills. Seeks information needed to solve work problems. Investigates and probes for the facts. Liaises with stakeholders, analysing issues from different perspectives and draws sound inferences from information available. Identifies and proposes workable solutions to problems
