United Institute of Training is a CRICOS registered vocational education provider in Melbourne offering quality education to international students. We are seeking a Student Support and Marketing Officer to join our team.
Position Summary:
The Student Support Officer is the first point of contact for United Institute of Training as part of our Student Support.
Working under the direction of the CEO this position provides a range of customer service duties that involve communicating to students about all aspects of college policy and processes and attending to their enquiries ranging from course information to academic outcomes, and information on available student resources with the college.
The Student Support Officer will need to be familiar with all aspects of compliance frameworks and college policies especially regarding refunds, academic progress, and grievances.
Additionally, this position will be required to assist with marketing duties and provide support to CEO when necessary.
Key Responsibilities:
Student Support:
- Provide first level support and answer queries or direct to appropriate person including telephone enquiries, student walk ins, emails, and MS Teams messages.
- Provide information to students on results, progress, and attendance.
- Process requests for COE extensions, deferrals, and withdrawals and forward to Academic Support Officer.
- Prepare letters and documents for students (Certificates, Completion Letters, Confirmation of Leave Letters etc.)
- Keep student management systems updated with all student contacts and correspondence.
- Handle orientation for all intakes including:
- Sending invitations and related documentation.
- Delivering components of the presentation.
- Collecting all relevant forms.
- Updating student management system.
- Follow up non-attendees.
- Send out regular student notifications as per the term planner including:
- Monitoring attendance records and ensuring they are up to date.
- Sending warning letters to students for non-commencement and non-attendance
Marketing officer:
- Appointing new and manage the existing network of quality international education agents.
- Regular market visits to manage agent relationships.
- Manage all agent contract/agreement and store in internal database.
- Data entry, ensuring student profiles are maintained with current information and documentation.
Selection Criteria
Essential:
Student support:
- Minimum 1 years’ experience in a Student Support officer role in Education environments i.e. RTOs and/or International Education Providers
- Excellent oral and written communication skills
- Excellent organisational and time management skills.
- Demonstrated computer literacy skills including Microsoft Office (Excel, PowerPoint, Word, and Outlook).
- Ability to navigate Student management system preferably not essential “RTO Manager”
- Attention to detail and ability to follow policies and procedures.
- Adaptable to a changing work environment and ability to work under pressure while maintaining high levels of accuracy.
Marketing officer:
- Must have Minimum of 1-year marketing/public relations experience with an education provider on similar role
- Experience and ability to work with individuals from multi-cultural backgrounds
- Experience in reporting writing, compiling and analysing data/charts
- Understanding and identifying factors in students and agents that influences in recruitment
Desirable
Student support:
- Experience using PRISMS system.
- Diploma of Counselling
- Graduate Diploma of Management (Learning) & Cert IV in Training and Assessment.
- Experience using RTO Manager or similar Student Management System.
- Knowledge of Registered Training Organisation and ESOS standards and ASQA compliance requirements and student Visa regulations.
- Flexibility and adaptability in servicing the needs of diverse market.
Marketing Officer:
- Experience using RTO Manager or similar Student Management System.
- Knowledge of Registered Training Organisation and ESOS standards and ASQA compliance requirements and student Visa regulations.
- Flexibility and adaptability in servicing the needs of diverse market.
