Our client is a leading global investment management firm with operations across the globe and offices in more than 15 locations worldwide. They have been operating for decades and have become a recognisable brand.
As the business has grown in Sydney, they are looking to bring onboard a Team Assistant to provide support to one of their core teams. Your day to day will be diverse and entail diary management, international travel coordination, setting up meetings and working with different timezones, organising events in tandem with the Office Support team and other tasks.
We are looking for someone motivated, has excellent communication and relationship-building skills and takes pride in their presentation.
Please note this role is 5 days a week in the office.
Duties & Responsibilities:
- Calendar management - ensuring local and global calendars are consistent
- Coordinating and scheduling client meetings
- Travel coordination - predominantly international. Booking flights, tickets, hotels etc.
- Material preparation for meetings, such as agenda preparation and circulation
- Preparing and formatting Powerpoint presentations, templates and word documents
- Expense management via Concur
- Database management
- Invoicing and budget tracking
- Organising events in tandem with Office Support staff
Skills & Experience required:
- At least 3+ years of experience as Team Assistant/Office Administrator/PA
- Experience in professional or financial services ideal but not required
- Experience with calendar management and travel coordination
- Strong skillset in MS Suite - PowerPoint, Word and Excel
- Excellent communication skills, verbal and written
