About the Role
With several exciting projects and developments in the pipeline, Ingenia Communities is looking for an engaging and professional Team Assistant to support our ongoing business growth. This role will primarily provide diary management and travel coordination support to our Executive General Manager (EGM) of Development. Additionally, the role will provide administrative support across a selection of Sydney based executive leaders across Marketing, Sales and Acquisitions as well as ad hoc administrative support to our Office Manager.
Key Accountabilities
- Diary management, meeting coordination and scheduling for the Executive General Manager, Development
- Travel coordination and booking for the Executive General Manager, Development
- Support with invoice management and coding credit card expenses
- Prepare presentations and collate information.
- Coordinate team meeting events including catering.
- Manage incoming phone enquiries for the Sydney Corporate Office on occasion.
- Managing receiving guests and deliveries from the lobby on occasion.
- Assist the Sydney Corporate office in the absence of the Office Manager.
- Treat all team members with respect to support a team environment and provide high levels of service and support.
- Develop professional relationships with your team members to ensure optimal communication, efficiency, and productivity.
- Participate & contribute to meetings and make suggestions for continuous improvement.
About You
- Strong computer literacy skills particularly with Microsoft Office, Excel, PDF, Outlook,
- Demonstrated experience in an assistant or like role to senior executives.
- Confident and proficient in dealing with conflicting priorities.
- Exceptional planning and organisational abilities.
- Confident in decision making and able to work with minimal supervision.
- Excellent customer service skills.
- Corporate and professional presentation.
- Confident and proficient at dealing with people.
