The Role
As a Tenders and Contracts Administrator, you will be part of the Contracts Administration Team that supports the procurement process for Local Buy and delivers a high-performing Active Arrangements process.
The Tenders and Contracts Administrator will play a pivotal role in creating, managing and administrating Tenders and setting up high-quality and effective prequalified arrangements. Utilise your Tender expertise to assist us in delivering an award-winning and Australian-first Active Arrangements process.
The role has a strong procurement systems component and is ideal for someone who is comfortable with systems and is willing to develop a high level of subject matter expertise and become the key ‘go-to’ person.
Previous experience in a procurement environment and procurement technology would be advantageous.
Some of your responsibilities will include:
- Administration of the Local Buy Active Arrangement Tender process, including set up of each Tender in the 360 system, mandatory forms/questions, and RFT setup through VendorPanel and tracking of tenders during the process
- Support the preparation and submission of Confidentiality & Conflicts Disclosure Agreements, Evaluation Recommendation Reports, Evaluation and Probity Plans and all other Tender-related documentation including proofreading and formatting.
- Working closely with the Category Officers and the Arrangements Team
- Provide administration support for Local Buys Tender Portal (360) and VendorPanel
- Supporting the evaluation of Tenders including the evaluation of mandatory questions
- Provide document processing assistance including editing, maintaining and PDF for signing
- Supplier queries and escalations
- Assist with system set-up for Tenders and process improvements.
- Set up the Local Buy Arrangements and supplier information in VendorPanel and send invitations to appointed suppliers
The position reports to the Manager of Procurement Technology and Contracts Administration.

About You:
- Knowledge of contracts and tendering processes and documentation
- A minimum of two years' experience in Procurement.
- Familiarity with Procurement Technology and confidence in setting up Tenders
- Experience in VendorPanel or 360 is highly regarded
- Experience in a similar role,
- Confident in dealing with tight deadlines
- A willingness to learn and work within our operating model, aspiration and vision
- Excellent attention to detail with a can-do attitude and a healthy respect for deadlines
- Demonstrated proficiency in using software applications such as MS Office (Word and Excel), SharePoint and Microsoft Dynamics CRM
- An ability to work cooperatively in a close-knit team, keeping all team members informed of your work
- Demonstrated ability to establish, prioritise and schedule tasks to meet deadlines
- Ability to maintain confidentiality and to exercise tact, discretion, initiative and sound judgment
