The role of Real Estate Administrator is to manage the smooth and efficient operation of the Real Estate business and to ensure that the Directors and Trainer/Assessors are supported. This role requires cooperation as part of a team and effective communication.
The general tasks of the Real Estate Administrator include:
- Team Participation
- Daily catch ups regarding the status of current workloads and completion of tasks with the Administration team – monitoring the “Teams Whiteboard”
- Email Management
- Workload delegation
- Staff reviews when applicable
- Website updates and maintenance (general)
- Social Media approvals and assistances on topics
- Weekly trainer timesheet management
- Weekly reports review e.g., units started by a student but not started on aXcelerate – inform trainers etc.
- Processing of student enrolments
- Adhoc replying and actioning of tasks on behalf of Directors and/or staff. (E.g., Dealing with customer complaints)
- Updating forms and documents with controls incl. enrolment, qualification flyers, staffing lists etc.
- Professional Development for admin team – e.g., aXcelerate training
- Assisting in corporate contracts and tenders where needed
- Bimonthly and monthly corporate invoicing
- General Administration tasks such as:
- Answering calls and enquiries
- Stationery and general office purchases and monitoring
- Addressing student/client enquiries
- Processing of payments via B-Point and aXcelerate
Tasks involved with the CPD and Real Estate workshops and online processing includes but is not limited to the following:
- Liaising with Clients and ensuring the Client Engagement has been returned signed and completed.
- Diary Management of trainers
- Venue Bookings including when applicable. Catering, flights, accommodation, transport, couriers
- Material compilation prior to sessions
- Scheduling workshops – face-to-face and virtual sessions then upload to website
- Process SCORM files (via aXcelerate)
- Material development/compilation
- Attendance & Feedback compilation/Completion on online system
- Registering CPD Points through DMIRS
- Responding to DMIRS correspondence with regards to CPD point updates and actioning on all specific internal documents
- Certificate creation & sending to clients
- Invoicing – Real Estate, individuals, Clients
