We have an exciting opportunity available for a Travel Coordinator to join TEG.
We are looking for an ambitious, multi-skilled travel specialist to join our Sydney team. Responsible for supporting Event and Corporate travel management, the role will take your career to new heights as you lead the implementation of new travel management processes and support consolidated of travel providers across the group.
The role will include the management of Event (Touring) and Corporate travel requirements. This will include international and domestic air travel, accommodation, hire car, and ground transport bookings on an group and individual basis. You will have a direct responsibility for organising smaller event/group travel and supporting Corporate travel as well as oversight of TMC management of large-scale event travel including music tours, theatre productions, sporting events, and exhibitions, to ensure that service level KPIs are met.
In addition to travel management experience in the Event and Entertainment industry, we are looking for candidates with the self-drive and confidence to implement new internal processes and ensure that TEG’s travel policy and process requirements are followed. This will require excellent communication skills, high EQ, and stakeholder management competency. Importantly, you will lead initiatives to reduce travel costs including early planning and bookings, maximising self-service activity (including via an OBT), using best fare of day options, and managing credits and contra-deals.
About the Role
- Support the business improve operational efficiency and process including consolidating TMCs as a result of a tender process.
- Working with Tour Managers, complete international and domestic travel bookings for small group events and tours (e.g. <= 5 pax), including researching deals to secure BFOD, and developing and managing a travel grid.
- Working with internal Travel Requesters and Travel Approvers, complete international and domestic travel for TEG staff across the business, including researching deals to secure BFOD.
- Oversight and coordination of requirements with Travel Management Company (TMC) and Touring business units to ensure seamless travel experiences for larger tour groups, activities include ensuring early planning and timely booking, review of grids for accuracy and completeness, and ensuring TMCs are meeting KPIs.
- Ensure comprehensive business compliance with TEG Travel Policy and procedures.
- An escalation point for travel related issues in the business
- Responsible for travel related information management, including the completion of weekly operational reporting.
- Review invoices and support financial reconciliation of travel costs.
- Manage tickets in credit, room banks and similar to ensure credits are used for new bookings (including by the TMC).
- Managing itinerary changes to minimise cost impacts.
- Early detection and resolution of issues and errors. Reporting issues to the TMC and monitoring resolution by the TMC.
About You
- Minimum of 5 years demonstrated travel management with experience in the event and entertainment industry.
- Ability to work, problem-solve, and multitask in a fast-paced environment to service internal and external stakeholders.
- Cert III Travel or equivalent.
- Deep knowledge of domestic and international group fares and systems.
- Ability to create and managing travel grids /complex group itineraries.
- Knowledge and experience of Online Booking Tools.
- Ability to manage TMC performance to defined service levels and KPIs.
- Strong understanding of the travel industry and suppliers.
- Strong relationship-building skills.
- Ability to implement new processes and manage compliance to policy.
- Excellent communication and presentation skills, verbal and written.
- Exceptional personal organisation, time management, and close attention to detail is essential.
