About the Role

The WHS Systems Administrator will work with the WHS systems and Governance Lead in partnership with Baptcare management and staff to contribute to organisational performance and employee engagement through assisting management and staff to become superior performers; and, when significant change is required, transforming the organisation in the achievement of new directions and goals.

The primary purpose of the Workplace Health and Safety (WHS) Systems Administrator is to support the WHS Systems and Governance Lead and the wider Work Health and Safety team to improve Health and safety performance, by managing WHS Documents and Records, Preparing safety reports, improving data quality, and maintaining Intranet Pages.

Key Duties

  • improving data quality based on Baptcare processes to inform WHS improvement strategies
  • managing the document life cycle to help the Systems and Governance Lead simplify the documents that Baptcare needs
  • manage records to help WHS team find historical records to manage past incidents and help guide improvements
  • providing reports on safety performance to help front line focus on their risks and improve safety
  • updating Baptcare’s WHS intranet
  • supporting the WHS team to simplify and improve supporting WHS administrative processes
  • coordinate WHS Communications, including monitoring group email inboxes
  • maintaining WHS Intranet (SharePoint).

Key Performance Indicators

  • WHS documents are current and up to date
  • Timely and accurate reporting, delivered within set timeframes (weekly and monthly reports)
  • WHS intranet pages are maintained and kept current and up to date

WHS communications are monitored and appropriately managed

About You

You are passionate about starting your career in either Work Health and Safety or growing your business support skills. Solutions focused and up for making a difference, you align your approach to strategy to achieve organisational and divisional goals. You are a true business partner that instils trust in your stakeholders by demonstrating integrity and accountability.

Working as part of a close-knit team, you collaborate with and support others, demonstrating respect in your day-to-day actions.

You will ideally bring the following:

  • 2+ years experience in an administration or equivalent role or interested in working in Health and Safety
  • Intermediate Microsoft Office skills (Word, Excel, PowerPoint)
  • Clear verbal and written communication skills
  • Accuracy in classifying and manipulating information and data
  • Superior organisational and time management skills
  • Document management (document control) skills (e.g., SharePoint experience) is highly desirable but not essential
  • Intranet management, usability (for documentation or intranet) experience is desirable but not essential
  • Plain language awareness but not essential is desirable
  • 3 days a week at the Camberwell Office
