Position Objectives:
Reporting into the Works and Infrastructure Administrator, this two year contracted position is one which provides support in all areas of the directorate, and will undertake administrative tasks for various arms and teams, increasing efficiency.

The administration Officer has a focus on delivering exceptional and consistent customer service to the Works and Infrastructure team members  . They have a responsibility to:

  • Provide high level administrative support to the Works and Infrastructure Department
  • Be an effective and efficient member of Council’s Works and Infrastructure team

Responsibilities:

  • Develop, maintain and review procedures and systems that will provide effective customer services
  • Manage the administration requirements of the Project Delivery and Asset Strategy teams in the areas of grant, projects and other administration functions.
  • Provide assistance and back up to the Work and Infrastructure Administrator and Administration Officer Development Services
  • Consolidate data sets and input technical and budget data as required by managers / coordinators.
  • Assist with regular isolation checks for Council employees as per Council’s procedure.
  • Create requisitions and purchase orders and follow up to ensure prompt delivery of goods and services.
  • Assist with the key register and stationary supplies for Asset Services
  • Undertake records management tasks for the Asset Services Administration area including the coordination of external correspondence.
  • Provide and promote customer service both within the organisation and externally.
  • Assist managing stock control and inventory for the Asset Services Department, which will involve working in conjunction with the Finance Department
  • Assist with maintaining quality management processes, including a detailed administrative procedure manual for the Asset Services Department
  • Assist with managing PPE for all KIC employees, by sourcing and ordering appropriate supplies in accordance with Council’s Dress Code and Uniform Policy
  • Assist Managers and Coordinators by gathering information when requested for projects such as the Annual Report and Council Meetings

Knowledge:

  • Ability to lead and model the organisational values and behaviours and the commitment to effectiveness and efficiency in achieving the strategic outcomes identified in Kangaroo Island Council’s Strategic Plan.
  • Highly effective leadership and people management skills.
  • Excellent verbal and written communications skills, a flexible approach and ability to motivate others to work in partnership to achieve project outcomes.
  • An understanding and experience in establishing, coordinating, and implementing new and innovative strategies for customer service delivery.
  • Highly effective time management, decision making, organisation and planning skills
  • Competent in community consultation and an ability to support community groups and organisations, with demonstrated skills in the development and delivery of community education and awareness programs.
  • Ability to undertake planning, including research, data analysis and compilation of reports.
  • Good understanding of budgeting and relevant accounting and financial procedures
  • Proven ability to assess and interpret information to formulate recommendations and provide specialist advice to enable the organisation to achieve quality outcomes

Selection Criteria:

  • Sound IT skills including word processing and data entry
  • Demonstrated self-motivation, sound initiative and the ability to exercise independent judgement within the parameters of the role
  • Highly effective change management skills
  • Ability to negotiate with customers
  • Ability to engage members of the team and clients
  • Sound judgment and the ability to resolve service difficulties and achieve positive outcomes
  • Customer Service in a wide variety of areas
  • Dealing with conflict and difficult customers

Qualifications and Experience:

  • Year 12 SACE or equivalent
  • Certificate IV in Administration or equivalent (desirable)
