Position Overview: We are currently seeking a talented and dedicated Accounts and Administrative Assistant to join our team at Affordable Staff. The successful candidate will work closely with the Company Accountant and Accounts Team members, playing a critical role in ensuring the smooth operation of financial and Administrative processes within the organisation. You will be a part of a supportive and collaborative team who are passionate about exceptional customer service.
Key Responsibilities:
Invoicing and Billing (Accounts Receivable):
- Perform weekly and monthly invoicing tasks, ensuring accuracy and timeliness.
- Receipt customer payments into accounting software.
- Run reports and communicate with clients and internal stakeholders to resolve outstanding balances and collaborate with internal management were needed.
- Assist with managing accounts related client enquiries.
AP Entry and Reconciliation (Accounts Payable):
- Receive, process, and verify AP invoices (small volume).
- Prepare batch payments to suppliers.
- Maintain accurate supplier records and reconcile supplier accounts.
- Maintain positive accounts relationships with suppliers.
- Connect with stakeholders for credit card receipts and record transactions to system.
- Assist with bank and card reconciliations.
Communication and Client Support:
- Periodically answer phones, screen calls, and direct enquiries towards the appropriate person or department.
- Liaise with clients regarding their account and address issues as necessary.
- Divert non-accounts-specific customer enquiries to the appropriate person or division.
- Maintain positive relationships with clients other stakeholders.
- Create client statement of accounts where required.
Accounts Team Process Improvements:
- Working with the Accounts Team, refine and improve financial and Administrative processes towards efficiency.
- Contribute to the mapping of new processes and enhancement of existing workflows in collaboration with the Accounts Team.
- Attend and contribute to the weekly and ad-hoc Accounts Team meetings towards continuous improvement within the Accounts Department.

Qualifications and Skills:
- Completion or working towards Certificate IV Financial Services (preferred).
- Experience in accounts payable, accounts receivable and general admin.
- Proficiency in accounts transactional entry and use of Microsoft Office Suite.
- Strong attention to detail and accuracy.
- Excellent communication and client service skills.
- Ability to manage multiple tasks and prioritise effectively.
- Problem-solving skills and a proactive approach to tasks.
- Candid ability to collaborate and work in a team-oriented environment.
- Process improvement and documentation experience an advantage.
- A detail-oriented and proactive approach to tasks, exceptional organizational skills and the ability to handle a variety of tasks with precision and efficiency is essential.
