What’s the job?
The Admin Assistant – Office of the CEO role (also internally referred to as Junior Executive Assistant) is a newly created position that will report into the Senior Advisor to the CEO, and provide comprehensive and top-tier administrative, secretarial and general office assistance for the CEO Office. We currently have two co-CEOs – Linda Brown, who joined Torrens University as President in September 2014 and Dan Cockerell, who recently joined us in December 2023.
This full-time permanent role is based at our Surry Hills campus in Sydney. We offer flexible working arrangements with a hybrid office and home working model. We are open to candidates seeking part-time employment, with a minimum of 4 days per week.
Day-to-day accountabilities:
In this role, you will be providing professional and confidential administrative and secretarial support to the Office of the CEO and the Senior Advisor to the CEO. You will be working under the guidance of the Senior Advisor to the CEO and assisting with:
- Coordinating travel and accommodation bookings and associated logistics (including the preparation of agendas, itineraries and document packs for meetings and appointments)
- Coordinating conferences and meetings (national and international) and associated logistics including, meeting room bookings, IT, catering, teleconferencing, etc.
- Coordinating our co-CEO’s diaries based on the Senior Advisor’s instructions
- Managing and processing expenses, invoices and payments
- Assisting in the preparation and formatting of monthly reports, presentations, speeches, submissions document packs, briefings, talking points and other correspondence
- Handling ad-hoc and general administrative office duties, including attending meetings and taking notes when required
- Meeting, greeting and interacting with the Executive(s) and incoming visitors

Who you are?
To be successful in this role, you will need to be highly organised, have a can-do and problem-solving attitude with great customer service skills. You will ideally come with:
- Demonstrated previous experience in an administrative, secretarial, office support or personal assistant role, ideally at an Executive level
- Demonstrated meeting and diary management and experience with scheduling domestic and international itinerary travels
- Experience in implementing and maintaining document management and control systems, as well as processing and managing invoices
- Intermediate to Advanced MS Office program skills including Word, Excel, PowerPoint and Outlook.
- Highly developed time and project coordination skills and demonstrated ability to meet deadlines and to effectively manage multiple projects including the organisation of events and functions.
- Strong verbal communication, interpersonal and public relations skills to enable professional interaction with a range of people and cultures including senior management and other staff and all external stakeholders, government and the public.
Exceptional written communication skills including demonstrated experience in drafting correspondence, presentations, and reports.
No prior experience in education is required. Internal growth and mobility are really important to us. This is a great opportunity for the successful candidate to build the skills and experience necessary to become an Executive Assistant to our Executive or CEO office in future.
