About the Role
The Administration and Events Assistant role at the Melbourne Energy Institute (MEI), located within the University of Melbourne's Faculty of Science, involves providing crucial administrative support to the Institute's Directorate team, which includes the Director, Institute Manager, and Events Coordinator, among others. Reporting to the Institute Manager, the role ensures the smooth operation of MEI's daily functions and supports its engagement initiatives and Events. Additionally, the position entails liaising with staff and students within MEI, the School of Engineering, the Faculty of Science, and the broader university community.

Your responsibilities will include:

  • Preparing and processing invoices and payments.
  • Reconciliation of purchasing and credit card statements.
  • Assisting with human resource matters on behalf of the Director and Institute Manager, such as administering employment contracts, processing timecards, etc.
  • Maintaining MEI’s SharePoint electronic filing system, in particular for administration activities such as HR and finance.
  • Managing travel, accommodation and conference registrations for the Director and Program Leaders, and where reasonable, other staff including the Director’s own research staff and students.
  • Provide general administrative support to Program Leaders or other key personnel
  • Assisting the MEI team with event and seminar activities, such as booking rooms, organising catering, dissemination of meeting information, recording meeting and event attendees, event set up and pack down, etc.


Who we are looking for
You will possess excellent communication and interpersonal skills, and demonstrate the ability to interact effectively with diverse stakeholders while maintaining confidentiality. Additionally, you will showcase well-honed professional organizational skills, adeptly coordinating workflow, prioritising tasks, and meeting deadlines in a fast-paced environment, all while maintaining attention to detail.

You will also have:

  • Completion of a diploma level qualification with relevant work experience, or completion of a certificate IV with relevant work experience, or an equivalent combination of relevant experience and/or education/training.
  • Experience in supporting event and meeting organisation.
  • A high level of proficiency in the Microsoft Office suite.
