About the Role
We are seeking a highly organised and detail-oriented individual to join our team as an Administration Assistant. The successful candidate will play a crucial role in supporting the administrative functions of our Abbotsleigh farm, ensuring efficient operations and effective communication across various departments.
Responsibilities Include:
- Provide high level administrative support and office coordination for the team.
- Function as the initial point of contact for phone, email and in person enquiries from visitors, customers, suppliers and staff.
- Competently utilise and maintain a range of desktop-based programs and information systems.
- Develop and maintain standard operating procedures for the effective and efficient functioning of the office.
- Undertake data entry, retrieval, and document management processes.
- Provide high-level administrative support to committees and meetings.
- Provide administrative support to projects, initiatives and business improvement ideas.
- Assist with audit processes.
- Collate and ensure that all records are accurately maintained in the system.
- Maintain staff personnel files and update licences and qualifications.
- Assist in planning and coordination of site events.
- Prepare relevant documents for completion of monthly stocktakes.
- Compile the monthly newsletter.
- Provide support to Administration and Operations Manager with weekly payroll.
- Assist staff with any queries regarding pays.
- Process staff reimbursements as required.
- Assist with reconciliation of credit card statements.
- Assist PALM employees with queries and assisting with the set up od services.
- Assist with the induction of new staff.
- Fulfil backup administration role for the packing shed if required.
- Any other administrative duties as required.
Skills and knowledge:
Ability to:
- Work effectively with little or no supervision to efficiently complete tasks.
- Be self-motivated and set tasks for yourself in line with your role and responsibilities with little or no direction from Management.
- Multi-task – be able to handle regular interruptions during your workday.
- Be a team member and contribute as necessary to ensure quality and business objectives are gained.
- Identify and inform Management of any ideas you may have on how to improve the safety, quality or efficiency in what we do.
- Be flexible to changing practices and conditions.
Possess:
- Excellent written and verbal communication skills.
- Excellent interpersonal skills.
- Excellent numeracy and literacy skills
- Thorough attention to detail, monitoring and checking work and information, combined with pragmatism necessary to complete tasks.
- Strong computer skills especially with Microsoft Excel, Outlook and Teams.
- A current manual drivers license.
- Good fitness level and aptitude to work.
- Experience working as a team member in a busy environment.
- An understanding and commitment to quality systems.
- An unwavering desire and ability to complete work accurately.
