About the opportunity

The Administration Assistant is a vital member of a professional health team and provides an exceptional standard of care to our clients whilst supporting the psychology team and Practice Manager.

Our practice aims to provide a work culture and environment that is conducive to ongoing personal development and wellbeing. We aim to function as a centre of excellence across all facets of service delivery.

This is a 38 hour working week, 4 days per week, starting at 8:45am to 5:45pm.

Role Duties:

  • To support the psychologists to undertake their clinical practice by fulfilling administrative duties that promote optimal service to clients.
  • To work cooperatively with other staff
  • To complete allocated tasks in an efficient and timely manner
  • Manage the appointment system, billing and account management
  • Maintain the security of patient record system and client confidentiality
  • Complete end of day reconciliations, seal and batch the end of day banking
  • Open and close of the practice
  • Process third party billings (Workcover, TAC, EAP)
  • Scanning, filing and faxing of confidential information
  • Commitment to accuracy and timelines.
Skills and knowledge for the Role?
  • To always conduct interactions and duties in a professional manner
  • Experience in customer service
  • Excellent communication and follow up skills
  • To be able to show empathy & compassion
  • Intermediate computer skills
  • Previous experience in medical software preferred
  • Ability to multitask in a wide range of administrative tasks
  • Knowledge of Medicare guidelines and item numbers
  • Certificate III or previous administration experience
  • Demonstrate a positive and enthusiastic demeanour, an aptitude for learning quickly and an ability to adapt to change.
  • Being always friendly and having a strong interest in mental health is paramount
