ABOUT YOU
  
This is the role for the Office Administrator that thrives on helping out their team, being the go-to person when people need something but at the same time can think a step ahead and be proactive.
  
The team are super friendly but during the day they are heads-down and focused on what they are there to do, so if you want to spend hours talking around the water-cooler this might not be the role for you.
  
You will have experience across several business areas and have very high attention to detail, especially when it comes to numbers!
  
THE KEY SKILLS
  
Lets drill down into some of the key things that will set you up for success in this role.
  
  • Strong computing skills, particularly with Excel and generally across the full Microsoft Office suite;
  • A positive ‘get it done’ attitude with an inclination to contribute to a happy and positive workplace;
  • Excellent communication skills;
  • A basic working accounting knowledge including in an accounting package;
  • First-rate organisational skills;
  • Ability to undertake multiple tasks within allocated timescales, with a high level of attention to detail;
  • Demonstrated ability to work within a team environment and offering support to colleagues; and
  • Flexible and adaptable and a demonstrated ability to suggest and implement change.
  
THE DETAIL
  
Let break down the key areas of the role and the main tasks involved, that might help you understand what we are looking for a little better.
  
Clerical Support for the Contract Administration Process
  
  • Registers all Contract Administration Projects.
  • Assists with contractor claims by entering claims into internal spreadsheets, sharing details with Landscape Architects and issuing payment certificates.
  • Assists with contract variations by actioning requests from Contractors or team members. This includes entering financial data into spreadsheets or the studios databases and issuing variation certificates to relevant parties.
  • Provides administrative assistance during tender preparation from receipt to issuance.
  • Ensures copies of the Contractors insurance certificates are current, filed and issued to Clients as requested, including obtaining renewal certificates as appropriate.
  • Prepares and issues practical and final completion certificates.
  • Processes bank guarantees, recording and releasing as appropriate.
  
Accounting & Finance
  
  • Uses remittance advices to process EFT payments in MYOB.
  • Follows direction from Finance Manager to follow up overdue debtors.
  • Supports Finance Manager in monthly invoice creation and distribution.
  • Provides ongoing support to the Finance Manager through a range of tasks as requested.
